Do you need to write a letter to apply for a job? Most of the time, the answer is yes. Even when employers don’t require a job application letter , writing one will help you highlight your skills and achievements and get the hiring manager’s attention. The only time not to send one is when the job listing says not to do so. It can help, and it definitely won't hurt to include an application letter with your resume.

A job application letter, also known as a cover letter , should be sent or uploaded with your resume when applying for jobs. While your resume offers a history of your work experience and an outline of your skills and accomplishments, the job application letter you send to an employer explains why you are qualified for the position and should be selected for an interview.

Writing this letter can seem like a challenging task. However, if you take it one step at a time, you'll soon be an expert at writing application letters to send with your resume.

Before you begin writing your job application letter, do some groundwork. Consider what information you want to include, and keep in mind that space is limited.

Remember, this letter is making a case for your candidacy for the position. But you should do more than just regurgitate your resume. Instead, highlight your most relevant skills, experiences, and abilities.

Analyze the Job Posting

To include the most convincing, relevant details in your letter, you'll need to know what the employer wants.

The biggest clues are within the job advertisement, so spend some time decoding the job listing . Next, match your qualifications with the employer's wants and needs.

Include Your Most Relevant Qualifications

Make a list of your relevant experience and skills. For instance, if the job ad calls for a strong leader, think of examples of when you've successfully led a team. Once you've jotted down some notes and have a sense of what you want to highlight in your letter, you're ready to start writing.

Writing Guidelines for Job Application Letters

Writing a job application letter is very different from a quick email to a friend or a thank-you note to a relative. Hiring managers and potential interviewers have certain expectations when it comes to the letter's presentation and appearance, from length (no more than a page) and font size to style and letter spacing . Keep these general guidelines in mind, but always stick to any explicit instructions in the job listing or application portal.

Length: A letter of application should be no more than one page long. Three to four paragraphs are typical.

Format and Page Margins: A letter of application should be single-spaced with a space between each paragraph. Use 1-inch margins and align your text to the left, which is the standard alignment for most documents.

Font: Use a traditional font such as Times New Roman, Arial, or Calibri. The font size should be between 10 and 12 points.

What to Include in Each Section of the Letter

There are also set rules for the sections included in the letter, from salutation to sign-off, and how the letter is organized. Here's a quick overview of the main sections included in a job application letter:

Heading: A job application letter should begin with both your and the employer's contact information (name, address, phone number, email), followed by the date. If this is an email rather than an actual letter, include your contact information at the end of the letter, after your signature.

  •   Header Examples

Salutation: This is your polite greeting. The most common salutation is "Dear Mr./Ms." followed by the person's last name. Find out more about appropriate cover letter salutations , including what to do if you don't know the person's name or are unsure of a contact's gender.

Body of the letter: Think of this section as having three distinct parts.

In the first paragraph , you'll want to mention the job you are applying for and where you saw the job listing.

The next paragraph(s) are the most important part of your letter. Remember how you gathered information about what the employer was seeking, and how you could meet their needs? This is where you'll share those relevant details on your experience and accomplishments.

The third and last part of the body of the letter will be your thank you to the employer; you can also offer follow-up information.

Complimentary Close: Sign off your email or letter with a polite close, such as "Best," or "Sincerely," followed by your name.

  • Closing Examples

Signature: When you're sending or uploading a printed letter, end with your handwritten signature, followed by your typed name. If this is an email, simply include your typed name, followed by your contact information.

Overwhelmed by all these formatting and organization requirements? One way to make the process of writing a job application easier is to use a template to create your own personalized letters. Having a template can help save you time if you are sending a lot of application letters.

Be sure that each letter you send is personalized to the company and position; do not send the same letter to different companies.

  • Always write one. Unless a job posting explicitly says not to send a letter of application or cover letter, you should always send one. Even if the company does not request a letter of application, it never hurts to include one. If they do ask you to send a letter, make sure to follow the directions exactly (for example, they might ask you to send the letter as an email attachment or type it directly into their online application system).
  • Use business letter format. Use a formal business letter format when writing your letter. Include your contact information at the top, the date, and the employer’s contact information. Be sure to provide a salutation at the beginning and your signature at the end.
  • Sell yourself. Throughout the letter, focus on how you would benefit the company. Provide specific examples of times when you demonstrated skills or abilities that would be useful for the job, especially those listed in the job posting or description. If possible, include examples of times when you added value to a company.

Numerical values offer concrete evidence of your skills and accomplishments.

  • Use keywords. Reread the job listing, taking note of any keywords (such as skills or abilities that are emphasized in the listing). Try to include some of those words in your cover letter. This will help the employer see that you are a strong fit for the job.
  • Keep it brief. Keep your letter under a page long, with no more than about four paragraphs. An employer is more likely to read a concise letter.
  • Proofread and edit. Employers are likely to overlook an application with a lot of errors. Read through your cover letter, and if possible, ask a friend or career counselor to review the letter. Proofread for any grammar or spelling errors.

Visa Invitation Letters for Zimbabwe

A Visa Invitation Letter for a Zimbabwean is a letter that the applicant has to submit to the Zimbabwean embassy or consulate where they are applying for a visitor visa and needs to be addressed either to the applicant or to the consular officer, confirming that they will accommodate the applicant in their home for the whole period of their stay in the country where the host lawfully resides.

What are the important details which should be in a Visa Invitation Letter?

The visa invitation letter must contain the following information about the host:

  • Date of birth
  • Telephone number
  • Type of home (owned / rent house / flat / room)
  • Host’s residential status in the host country

On the other side, the letter must also include the following information about the guest:

  • Full name as shown on their International Passport
  • The person’s address and telephone number
  • Relationship between the host and the guest
  • The purpose of the trip (friendly visit, holiday, wedding, birthday party.)
  • Exact entry date and exit date
  • If the letter is addressed to the guest do not make it sound too official. It is better if it sounds more personal and friendlier rather than formal, so that the consular officer can have a better sight of the relationship between the host and the guest.

Who can provide a Visa Invitation Letter?

The person providing the visa inviation letter must fulfill the following requirements in order for the letter of invitation to be valid:

  • Must be a citizen or lawful permanent resident of the Zimbabwe
  • Must be your family member / relative or friend, boyfriend / girlfriend
  • Must have a registered place (appartment or house) in Zimbabwe
  • Must have enough room for the applicant or the applicant and his or her family members if the applicant is travelling to Zimbabwe with his or her family
  • On some occations, the Letter of Invitation is not required by the Zimbabwean embassy, but it is strongly recommended to submit one even if not required.

Common reasons why your Zimbabwean visa application got rejected include:

  • Lack of funds – you must be able to afford your trip Zimbabwe and you must provide documents to show that you can.
  • Proof of accommodation not provided – you must be able to show where you will be staying in Zimbabwe and you can easily do this by providing a hotel reservation in Zimbabwe.
  • The visa officer thinks you will not return to your home country – you must make it clear that you intend to leave Zimbabwe and return to your home country before the expiry of your visa. Please check with the third party if they received a notification about the passport being ready for collection. Do not visit the Visa Application Centre until you have received this email.

The special dispensation is for Zimbabwe nationals who are working, studying or running businesses in The Republic of South Africa.

The Zimbabwe Special Permit (ZSP) is a permit issued by the Department of Home Affairs, South Africa.

Zimbabwe Citizens that would like to remain in South Africa can apply for the newly introduced Zimbabwe Exemption Permit (ZEP).

A fixed service fee of R1550 for every applicant

A biometric clearance fee of R185 (Applicable to all who are 18 years and above)

All adults (18years and over) will pay a total of R1735

All minors (below 18years of age) will pay a total of R1550

Fees are non-refundable once the application is received by VFS Global and Department of Home Affairs.

ZIMSEC Notes: Writing Formal Letters

One of the possible questions that candidates will be asked to tackle as part of their Ordinary Level English examination is to write a formal letter; called Business Letters in the syllabus. Questions on formal letters are found in Section B of English Paper 1 and are worth 20 marks.

Students are given a scenario or background information that they can use to write the formal letter. It is important to first read the information and understand what it entails. For example if a questions says, “You are an officer with the ministry of Environment and Tourism”, you will have to imagine yourself as one and try and get into the likely mindset of such an officer. Bearing your title in mind will also affect the way you will write such a letter for example you cannot use your school’s address when writing such a letter because in all certainty a person who bears the title of “Office in the Ministry of Environment and Tourism” must have graduated from school.

So bear in mind who you are supposed to be according to the question when composing the letter. Are you a disgruntled customer who was on the receiving end of bad service at a local hotel and are writing to complain about this to the hotel’s manager? Are you a High School graduate who is part of a class that graduated 20 years ago writing a letter to the school detailing your last visit to the school.

The second thing that you need to be aware of when writing a formal letter is the intent of the letter. What is the question really asking you to do? For example if you are an Environmental Officer and being asked to detail your visit on the environmental degradation in an area your recently visited stick to the detailing bit. Do not for example try to suggest possible way to combat this degradation unless the examination question asks you to. Do not complain when you are asked to compliment the service you received at a hotel unless perhaps it is offered as some form of afterthought.  Do what the questions is asking you to do, no more and no less.

Usually the questions will ask you to expand on given points and to add some of your own. You are supposed to use all the points given but expand by adding “flesh” to the skeletal points based on your own experiences and intentions. You are also free to add points of your own to complement these points. Each point should constitute a paragraph, a goal which can be achieved by making it the topic sentence in the paragraph.

The syllabus provides the possibility that some or all the points will be presented to the candidate in the form of a graph, picture or graph. Although this rarely happens, do not bank on the chance that you will not have to face such a question where the information is given in such form. Take time therefore to familiarize yourself with basic charts and diagrams particularly: Bar Graphs, statistical data and pie charts.

You should remember this is a formal letter so make use of formal registers and tone. For example be careful to address people using the proper salutations, titles and work titles. For example Mr. for men, Mrs for married women, Miss for women yet to be married, Ms when you are unsure and for divorcees, Dr. for Doctors and sir/madam when addressing them. You must avoid the use of colloquialisms, cliches and the use of an over familiar tone for example addressing the reception or calling them “my friend”.

Do not make assumptions for example do not use sweeping generalizations such as: “As you well know…” , “It is obvious…” etc.

You do not necessary have to present the given points in their given order. Adopt them and present them in a way that is more natural to your letter and make more logical sense to you.

Shakespeare said ;”Brevity is the soul of wit”, considering how hard pressed for time people in the business world are, it is always important to be as brief as possible without sacrificing clarity and meaning while not writing long winded letters that are likely to test the patience of readers. Be succinct.

Also you should always include your standing in the letter after your signature. That is who you are with regards to the subject matter of the letter. For example are you a customer, are you an executive at a rival firm, a lawyer, an Officer in the Ministry of Environment and Tourism. In the first paragraph you must also include an appropriate introduction stating for example why you are writing to the letter and if applicable references to other previous correspondences or attached documents.

Finally you should know that both addresses go to the left hand side of the page. While your address used to go to the right hand side of the page this practice has since fallen out of use. This might have been brought about by the extensive use of typed letters which make use of letterheads which tend to be either centered or left-aligned. Also you should not that in actual business correspondence, the addresses are often now omitted due to the rise in use of emails. ZIMSEC still requires you to include the addresses however, so take care to do so.

The address you use depends in no small part to the question. If the question somehow changes who you are as has already been touched on above, you should take care to create an appropriate address for yourself instead of using your school address. The title of the recipient may also have to be made up; be sure to create a title that is both believable and appropriate in the circumstances. The same applies for the address of the recipient: it does not have to be accurate; just believable and appropriate.

Top Ten Boarding Schools In Zimbabwe

The Ministry of Primary & Secondary Education has not yet opened the Electronic Ministry Application Platform (eMAP) to allow parents/guardians to apply for Form One boarding places for their children for 2025.

The Emap platform will become accessible once the Grade 7 results are published online , as a student's total units will be used for screening purposes by the schools.

We will update this post once the platform has been opened.

A significant change on the Form 1 online application 2025/2026 platform is that the maximum number of schools that can be applied to at once has been increased to five to fifteen.

The move may have been necessitated by a need to reduce the load on the system. During the 2024 Form One boarding application process on Emap, the system experienced several issues and irregularities caused by high traffic levels.

You will be notified if your application is accepted or rejected via SMS only after the Grade 7 results are released since they will be used in the selection process.

It would also be wise to apply as soon as possible since boarding school places are quite limited. Last year the number of places available far outstripped demand for them and the same is bound to be true for this year.

Admission spots are allocated on a first-come, first-served basis, so applying early improves your chances of acceptance at your preferred school, assuming you meet the minimum unit requirements.

How to apply for a Form One 2025 Boarding School Place in Zimbabwe using the eMAP system

Follow these steps to apply once the www.emap.co.zw 2025 application portal has been opened.

Step 1: Access the Emap application portal

Visit www.emap.co.zw and click on the link close to the bottom of the page that says ‘ If you do not have an account please Sign Up Here ‘.

Read and understand the instructions and click on ‘ I understand ‘.

How To Apply For 2023 Form 1 Boarding Places On eMap

Step 2: Create an eMap Form One Application 2025 account

On the account creation page enter the required details including centre number, candidate number and date of birth using the details that appear on the pupil’s result slip.

After you are done confirm that the former school has cleared the pupil and proceed.

On the next form, you must fill in the fields for your mobile number, email (it’s listed as an optional field), password of your choice, and confirm password.

Make sure you keep the password safe as you will need it to log in and check the status of your application.

Step 3: Sign In To The eMap Application Account

Your account will now be set up and you can then sign in using the link provided to begin the application process. If the link does not work you can  click here to go to the sign-in page .

Step 4: Choose The Schools You Want

Click where it says ” Apply for Form 1 place ” then select the province and district of your choice.

You will see a list of available boarding schools. Choose the school you want and click apply. Repeat the process for the remaining fourteen schools of your choice. Be Careful Here! Once you apply to a school you can't change it. In other words, make sure you apply for the schools you want as there is no way of changing a school once you have applied.

This approach will simplify the process of selecting the top 15 schools suited to your specific situation.

Step 5: Check The Status Of Your Application

You can follow up on your Form 1 online application 2025 by clicking on the Check Status of Application  button anytime you log in.

Once You Have Finished Your Form One Online eMap Application Please Take Of The Following

Your application can show any one of the following statuses:

Pending  – application still under consideration

Accepted  – you have been offered a place

Processed  – once a particular school has accepted your child, all the other outstanding schools’ statuses will automatically be changed to ‘ Processed ‘.

Rejected  – your application was unsuccessful

  • Once you decline an offer there is no guarantee that you will get the same offer back
  • The offering of a place is done randomly from your shortlisted schools.

You can't change a school once you have applied on the eMap platform. Your best chance is to be rejected at all five schools and then reapply. So take your time and make sure you apply to the schools you want.

No, you can't and there is no guarantee that if you reapply to the same school you will get accepted again. So be careful with rejecting offers.

Currently, you can apply to a maximum of fifteen schools at once

The application platform will be closed on 31 December 2024. However, you should apply early to increase your chances of getting a place at your preferred school.

You can log in to the account and click ‘ Check Status of Application ‘. Zimsec says it will send notification SMS's as well but it's best to check for yourself time and again.

Reapply again to fifteen schools.However, this is highly unlikely if you've conducted thorough research, as you'll apply to schools that match your child's results more closely.

There is no prescribed waiting time. The time taken to process the application depends on the school of your choice.

This is a special case. You will have to take your papers and approach the nearest provincial education office to present your case. You will be given further instructions there.

You can visit  www.openclass.co.zw  and you will see profiles of high schools there. There you will also learn about the uniforms and fees of the various listed schools in Zimbabwe.

It means that one particular school has accepted your child and the status of all other schools changes to ‘ Processed ‘.
