Planning out a PhD trajectory can be overwhelming. Example PhD timelines can make the task easier and inspire. The following PhD timeline example describes the process and milestones of completing a PhD within 3 years.

Elements to include in a 3-year PhD timeline

What to include in a 3-year PhD timeline depends on the unique characteristics of a PhD project, specific university requirements, agreements with the supervisor/s and the PhD student’s career ambitions.

For instance, some PhD students write a monograph while others complete a PhD based on several journal publications. Both monographs and cumulative dissertations have advantages and disadvantages , and not all universities allow both formats. The thesis type influences the PhD timeline.

The most common elements included in a 3-year PhD timeline are the following:

The example scenario: Completing a PhD in 3 years

Many (starting) PhD students look for examples of how to plan a PhD in 3 years. Therefore, let’s look at an example scenario of a fictional PhD student. Let’s call her Maria.

In order to complete her PhD programme, Maria also needs to complete coursework and earn 15 credits, or ECTS in her case.

Most PhD students start their first year with a rough idea, but not a well-worked out plan and timeline. Therefore, they usually begin with working on a more elaborate research proposal in the first months of their PhD. This is also the case for our example PhD student Maria.

In fact, in real life, many PhD students spend four years full-time to complete a PhD based on four papers, instead of three. Some extend their studies even longer.

How to Prepare a PhD Research Plan/Schedule?

PhD research plan is a structured schedule for completing different objectives and milestones during a given timeframe. Scholars are usually unaware of it. Let us find out how to prepare it. 

Between March 2021 to 2022, I read almost 15 different research proposals from students (for their projects) and only a single one, I found, with a comprehensive research plan for 3 years. Which is still not, kind of practical, probably copied from other students. 

Such entities are not known to over 90% of students, if some know that because their university asked for but unfortunately, this basic procedure lacks penetration among students. I don’t know the exact reason, but students lack a basic understanding of the research process. 

Meaning, that they don’t know or perhaps don’t complete their course work needly. PhD research requires many documents, SOPs and write-ups, before even starting it. For example, a rough research plan, research proposal, initial interview, competence screening, grant proposal and so on. 

However, the requirement varies among universities and thus knowledge regarding basic procedures often also varies among students. So I’m not blaming students but certainly, it is the fault of the university side, as well.  

When you come up with a research proposal with a research schedule or entire plant, certainly it will create a positive image and good reputation. So it is important. But how to prepare it? 

Hey, there I’m Dr Tushar, a PhD tutor and coach. In this article, we will understand how we can prepare a structured plan for the PhD research and how to execute it. 

So let’s get started.  

How to prepare a PhD research plan/schedule?

A PhD research plan or schedule can be prepared using the GANTT chart which includes a month, semester or year-wise planning of the entire PhD research work. 

First, enlist goals and objectives.

It’s not about your research objective enlisted in your proposal. I’m talking about the objectives of your PhD. Take a look at some of the objectives.

Ethical approval Thesis writing 
Trial and research work approval Thesis drafting 
Review literature Poster Preparation 
Questionnaire design Presentations

Wet lab work Viva 

Note that these are all the objectives that should be completed during the PhD, but not limited to a specific subject. Note you have to show how you can complete or achieve each objective during the entire tenure of your work. 

And that is what the plan/schedule is all about. Next, explain the time duration. The time required to complete each goal, roughly. For example, a semester or a year to complete the course work or 4 to 8 months for completion of ethical approval. 

Now two things must be known to you, at this point in time. 

  • First, enlist the time required to complete each objective, as aforementioned. 
  • Second, what goals would you complete during each semester?

For instance, course work takes a semester to complete, but during the period a scholar can also craft their PhD research title, research proposal, ethical approval and grant proposals. 

Now it is also crucial to know that there is no time bound to complete goals, but it should be completed as you explained. Let’s say you can plant it for 3 years, 4 or even 5 years depending on the weightage of your work. 

In summary, the answer to the question of how to prepare a research plan is, 

  • Enlist your goals or objectives. 
  • Decide the time required to complete each goal.
  • Prepare a GANTT chart.  

Now you have prepared zero-date planning for your research but how to present it? The answer is a GANTT chart.

GANTT chart is a task manager and graphical presentation of how and how many tasks are completed or should be completed against a given time duration. Take a look at the image below.

How can you prepare one?

Open MS Excel (on Windows) or numbers (on Mac).

Enlist goals or objectives in a column. 

Enlist years (duration of PhD) in a row and bifurcate them into individual semesters. You can also prepare a month-wise plan, that’s totally up to you. In my opinion, semester-wise planning is good because research is a lengthy and time-consuming process. So monthly planning would not work. 

To make a chart more attractive and readable use colors, as I used. Now mark a ‘cell’ against a column and row showing the objective which you are going to complete in a semester. Take a look. 

After the end of this, your GANTT chart would look like this.

Wrapping up: 

Planning and executing a research schedule are two different things. Oftentimes, students just prepare as per the requirements and then do work as per their convenience. Then they are stuck in one place and just work around the time. 

Plan things. Make your own GANTT chart, put it on your work table or stick it on a wall so that you can see it daily. Try to achieve each goal in time. Trust me things will work and you will complete your PhD before anyone else.

Success in any PhD program depends, to a large extent, on effective time management and keeping track of progress through a thoughtfully crafted PhD timeline. 

Start with outlining all your major requirements:

  • coursework,
  • dissertation,
  • and the expected time needed for each task.

I also highly recommend factoring in failure time – give yourself a little bit of wiggle room for when things, invariably – go wrong. 

It’s crucial to remain realistic about the time you can commit daily or weekly while keeping long-term goals in mind.

Regular check-ins on your PhD timeline and supervisor will help you stay on track and allow you to adapt if necessary.

Adjustments may be needed as you progress through your PhD program, but having a timeline as a guide can make the journey less daunting and more achievable.

The initial stage in this timeline typically involves coursework, often lasting one year, where the student engrosses themselves in advanced study in their chosen field.

Once the coursework is done (USA PhDs), they focus on proposing, conducting, and presenting their initial research.

By the end of the second year, most students should have a clear direction for their dissertation, a core component of the PhD process.

In this third and final year of the PhD timeline, the student focuses primarily on completing their dissertation, which involves collecting data, analyzing results, and organizing their research into a substantial, original, and cohesive document that contributes to contemporary knowledge in their field.

Regular reviews and modifications of the PhD timeline may also be necessary to accommodate various unpredictable circumstances, thus making this timeline both a guide and a flexible workplan.

It is a significant tool in successfully navigating the maze of becoming a PhD holder.

Here are some common steps involved in completing a PhD, which I’ll use to create the Gantt chart:

  • Orientation and Coursework (Semester 1) : Familiarization with the university, department, and coursework.
  • Coursework (Semester 2) : Continued coursework and possible teaching/research assistantships.
  • Select Advisor and Research Topic : Usually done towards the end of the first year or the beginning of the second year.
  • Preliminary Research : Initial research and literature review.
  • Complete Coursework (Semester 3) : Wrap up any remaining required courses.
  • Research Proposal : Develop a full research proposal including methodology.
  • Qualifying Exams : Exams to transition from a Ph.D. student to a Ph.D. candidate.

Planning the timeline and progress of your doctoral dissertation (or Masters/undergraduate thesis)

One of my PhD students lamented this week with me that she had a lot to juggle (taking children to and from schools and to and from activities, etc.) and that she needed a strategy to make her research move forward. I had been planning to write this blog post for a while, since this is the one question I get asked the most by doctoral students (“ how do I plan my unstructured time over the summer ” being the other one).

I had to rush to get this blog post done because my student is 2 years away from the deadline her university has imposed for her thesis defence, which is why I sat down with her last night to show her how I do things. I have two other PhD students at exactly the same stage (2 years to defense) so I figured I might as well finish this blog post.

While I’ve suggested that people read one (or more) of the books that I’ve digested myself (check my Writing a Doctoral Dissertation page), one of the main things I teach my students is how to apply backcasting techniques to develop a project plan . I was trained as a project manager, and I worked in that capacity for a number of years, so I understand exactly the kind of work that needs to be done to develop good project plans.

There are a few resources for students, which I mentioned on Twitter earlier today (October 5th, 2018), many of which are listed in the thread that will appear if you click anywhere on the tweet shown below. Thanks to everyone who responded to my query, though I think many of them were professors describing their own process, which is not the same as having a doctoral dissertation (ONE GOAL) to finish in X number of years. My students are doing theirs in the 3 papers’ model, which is a bit closer to the day-to-day life of a professor, but still, the trajectory is quite different. Anyhow, here are some recommendations (click on the tweet to expand the entire thread).

The core planning strategy I would thus recommend doctoral, masters and undergraduate students is to engage in a combination of Gantt Chart Design and project backcasting techniques .

The Gantt chart is a technique I learned in graduate school when I took project management courses. This is a hypothetical Gantt chart for my doctoral student, covering about 15 months.

Dr. Patrick Dunleavy’s book “ Authoring a PhD ” is incredible and really does help students who are planning their PhD process. I recommend it to my own doctoral students.

In the end, the process I recommended to my students and that I do myself is – set a target defense date and then work backwards and plan tasks, activities, and intermediate goals. For example, I have asked my students to plan submission dates for their 3 papers (to be sent to journals) and then schedule fieldwork and data analysis accordingly. This process has worked well, and I hope my description of the process will help my students and others!

In a subsequent blog post I’ll describe how to go from long-term goals (submit paper X by Y date) to daily tasks. That blog post will definitely apply to doctoral students and post-PhD folks.

Guidelines to draw a timeline of your PhD

In a previous article I talked about how project management can help reduce PhD students’ anxieties . Most of my PhD I felt very much confused. Sometimes I could not even say whether I was still in the beginning, somewhere in the middle or close to the end of it. Therefore, I suggested that supervisors and students should try to define a tangible objective early on in the doctoral process, and that they should have regular check-point meetings to adjusts plans in order to keep the student’s project on track. I also mentioned that it is highly important to clarify what the supervisors and students long-term expectations are .

In another article I talked about Gantt charts , a great project management tool to draw and visualize a project outline.

In this other article about Gantt charts, I explained that there are some drawbacks to keep in mind. Indeed, upfront planning techniques like Gantt charts tend to lack flexibility and when things don’t work as planned it can actually increase the feeling of failure, which is exactly what we want to avoid here.

So, does it even make sense to draw a timeline early on in the doctoral process? I believe it does! We can keep the drawbacks of Gantt charts in mind and draw such a timeline if we define guidelines of how to use it .

I draw below an example for the institute where I did my PhD: the Institute of Biology at the University of Fribourg in Switzerland. Therefore, it is designed for a 4-year PhD program with annual committee meetings and for students who spend a lot of time performing lab experiments . However, it can be easily adapted to any field or any doctoral program.

Because I want this to be a general example but also because it is such a long time scale, I kept the level of detail to the minimum to make it flexible and to avoid over-planning . The time for each task here is a very rough estimate, it is meant to be adapted to what you think is best for you or to what is expected in your doctoral program. Importantly, the uncertainty level is increasing with time . You don’t have to start writing a paper on the 11th month of your third year, maybe you’ll start much earlier or much later and it will be perfectly fine. This is just a broad overview to help visualize what the main steps are, but their exact length or when they should start will get clarified once you are closer to it.

2. Why draw a timeline?

To draw such a timeline and for it to be realistic and useful, you are going to ask very concrete questions, to yourself and to your supervisor , like what are the important steps, what are the milestones (technical milestones for developing a protocol, committee meetings, exams…), what are the risks, do you have only one project or do you have more, maybe one large risky project and one smaller safer project, and all other questions which are relevant to you.

Project management is effective if concrete questions are openly discussed. If your supervisor doesn’t bring up these questions with you, it might feel quite scary for you to ask for it. To help you find the courage to so, I believe that having such a timeline will provide you a highly visual and attractive medium to foster these discussions.

When I learned about Gantt charts at the beginning of my second year of PhD studies, I draw myself such a timeline, but I didn’t dare to discuss it with my supervisor. With no surprise things really didn’t work out the way I planned it. Supervisors by default have more experience than a junior PhD student so they should know better what is realistic, what is expected and how much upfront planning can be done depending on the project.

3. Guidelines for how to make & use the timeline throughout your PhD:

  • I suggest that you draw a first version within the first two months of your PhD . But it’s never too late to start =)
  • Take my example and adjust it , maybe you already have a clearly defined project, maybe not, maybe you don’t need to design a new method, maybe you’ve been included in someone else project with a clear short-term objective, maybe you think you should start drafting a paper earlier, go and adjust it to what feels right to you.
  • Make sure to keep in mind that this chart is going to change many times until you graduate, stay flexible. This first timeline should only be an overview of the main steps which you expect in your PhD. It is here to give a direction, and if used regularly it can give a feeling of moving forward.
  • Schedule a meeting with your supervisor to discuss this initial timeline ( still within the first two months ), ask the maximum of questions, clarify the maximum of points and make sure you both agree.
  • Then whenever needed, go back to it and adjust it, maybe there is a great collaboration opportunity and for a few months you’ll be asked to put your main project aside and work fully on this collaboration, maybe your new protocol is working great and you’re already getting publishable data, maybe the protocol is not working well and you need to change strategy, how does it affect your timeline?
  • Whenever a big change happens or whenever you feel too lost, schedule an extra meeting with your supervisor to specifically discuss the timeline and the long-term objectives. Hopefully it should give you a feeling of being on a track, even if it’s not the first one you pictured.
  • I would suggest having such a discussion at least every 6 months .

This timeline is now a tool which is going to grow with you throughout your PhD. At first it is a rough overview of the main steps, if you keep it update with what you really do, at the end it will be a true overview of everything you’ve accomplished. Therefore, on top of guiding you through it, it will become a great tool to look back at your PhD experience once you’re finished.

Ten Simple Rules for Finishing Your PhD

Introduction

After years of research and with completion in sight, the final year of the PhD often represents the most challenging time of a student's career, in which the ultimate reward is the PhD honor itself. A large investment in time, energy, and motivation is needed, with many tasks to be completed; concluding experiments must be carried out, results interpreted, and a research story mapped out in preparation for writing the final thesis. All the while, administrative obligations need attention (e.g., university credits and mandatory documents), papers may need to be published, students mentored, and due consideration paid to planning for the next career move. Without some form of strategic action plan and the employment of project management skills, students run the risk of becoming overwhelmed and run down or of not meeting their final deadlines. Personal time management and stress resilience are competences that can be developed and honed during this final period of the PhD.

Here, we present ten simple rules on how to deal with time issues and conflict situations when facing the last year of a PhD in science. The rules focus on defining research goals in advance and designing a plan of action. Moreover, we discuss the importance of managing relationships with supervisors and colleagues, as well as early career planning.

Rule 1: Plan Your Last Year in Advance

Preparing a plan of action for the final year of your PhD is vital. Ideally, devised and agreed upon with your supervisor, a plan will help to optimize the time left and reduce feelings of being overwhelmed. Individuals plan in different ways; some prefer to work towards their goals in a stepwise linear fashion, whilst others are more comfortable flitting from task to task until all the jobs are done. There is no definitive way to plan, so find out what works best for you. You may decide to map out a timeline, or perhaps a mind-map is your preferred planning style. Whichever method you use, it's important that you adhere to your plan whilst allowing for some flexibility (but not distraction or procrastination).

Your time frame will vary according to the organization of your graduate school, your supervisor or advisory committee, and even your graduation date, but one year before submission of your doctoral thesis is the time when you should decide on how best to invest the last months of your research and associated activities. Having a plan of action will help to avoid time wasting, e.g., being distracted by superfluous experiments that might be interesting but are not necessary. Furthermore, from a psychological point of view, referring to a concrete plan can make you feel more secure and in control. Ideally, the supervisor and PhD student should both agree on the overall plan (with provision for the unexpected, e.g., technical issues), with intermittent reviews every few weeks to check that progress is being made. Your supervisor should also be able to advise you on the organization and writing of your thesis—for example, its structure—and the number and length of chapters to include.

Rule 2: Make Your Priorities Clear

Select the activities you want to include in your plan. What are your priorities? They are likely to include experiments that will give the thesis a conclusion or that may be necessary to publish a final paper. Mandatory administrative tasks will also need attention, and allowing time to prepare for your next career move will give you the best chance of a seamless and successful transition post-PhD. As a final year PhD candidate, you are likely to have acquired high-level competencies comparable to those of a junior postdoctoral researcher, in which case your supervisor may offer you responsibility for new projects or graduate students. Saying no to him/her can be difficult for various reasons, e.g., fear of potentially creating conflict in your relationship or causing a negative reaction or of perhaps losing the opportunity to be included in future research activities and publications. It can also be difficult to let go of a topic or project to which you are wedded or to miss out on the opportunity to help train the next generation of scientists. In such situations, referring back to your plan (Rule 1), previously agreed upon with your supervisor, should help to remind you both of your priorities and deadlines, making negotiation easier. However, should any conflict of opinion arise between you, bear in mind that finding a mutually agreeable solution is the best way forward. You can take advice from a mentor or refer to the many publications that provide approaches and tactics for effective negotiation. If the relationship between you and your supervisor is more complicated and cannot be resolved by a discussion, you may need to turn to your graduate school, your academic committee, or other senior managers in your institution, who can act to mediate the situation.

Rule 3: “The Truth Can Wait”

A research project is never really finished, so do not try to do everything before submitting. In fact, the perfect doctoral thesis does not exist; there are students with good research projects and many publications and others with more difficult and testing challenges who are still waiting for their first paper. If the project is ambitious, it might take several years to reach the final goal, and thus the thesis might only be a small part of the whole story. If the project is going well, it will open up new research questions and future directions, some of which will be beyond the scope of a PhD. At some point, you need to decide that what you have is enough for a PhD and start writing (a strategy we heard described at a dissertation-writing seminar in Cambridge as “the truth can wait”; it helps to write this on a post-it note and stick it on your computer!). Starting to write the thesis is not easy when there is a sense that more could be done to accumulate more data and a fuller story; a common mistake is to go back to the lab instead of getting started with the results chapters of the thesis. To postpone writing will cause delays and not necessarily improve the thesis whilst increasing the prospect of unfulfilled and extended deadlines. Thus, once the experiments that you have agreed on have been completed, it is really important to start writing with the data in hand.

Rule 4: Enlist Support

Finalizing experiments and writing the thesis (and even papers), as well as considering your next career transition, can be stressful and even isolating. It is a contrast to the relatively more relaxed earlier years of the PhD experience, and the writing process does not come naturally to everyone. The prospect of facing these stresses alone can make the experience even harder to bear, so it is advisable to communicate with and find support in those you trust and respect. Relying on such people during this period can help to ease the strain and enable you to achieve your final aims so that you arrive at your PhD graduation with your sanity still intact! Talking about personal feelings with selected colleagues usually helps you to realize that you are not alone, whatever difficulties and challenges you might be experiencing with your research project, supervisor, or coworkers. Sharing uncertainties and talking through issues can be constructive, helping you to understand the strategies other people use to cope with similar problems. As well as colleagues, it can also help to talk to friends and family, even though they won't be as au fait with the highly particular challenges you are experiencing. You can share your feelings and anxieties with them, but they can also act as a welcome distraction to help you to relax and take a break from thinking about the stresses of your PhD.

Support and advice can also come in the shape of courses, books, blogs, mentoring, etc. There is much published on the subject of how to write a thesis [1] . Furthermore, graduate schools, such as those in which we are based, usually offer courses to help PhD candidates improve their personal and professional skills. For example, the University of Zurich organizes courses on, amongst others, time and self-management skills, managing conflict, and academic writing and publishing [2] . The Graduate School of Arts and Sciences at Harvard lists workshops and resources offered across the university on topics such as scientific writing, time management, and overcoming procrastination. In addition to relying on your supervisor, postdoctoral researchers in your group or department (or even friendly collaborators) may agree to read chapters of your thesis and comment on aspects such as content, logical flow of ideas, and the overall structure. At a later stage, you may want to engage someone to check your grammar, spelling, and reference style (this can be especially important if you are not writing in your native language). If your PhD defense includes a presentation, try to practice beforehand, preferably in front of some of your peers, and include asking for feedback and possible questions that may come up. This should make you feel more prepared and confident.

Rule 5: Get Familiar with the Software

Being familiar with software for both writing and making figures will facilitate the creation of your thesis. One of the most effective tools with which to produce a scientific document is LaTeX ( www.latex-project.org ). This software, freely available, is not as immediately understandable as other text editors, but the advantages are greater: it offers a professional layout similar to published books, it makes the insertion and management of figures easier as their position in the file does not depend on text editing, and it allows for easy typesetting of mathematical equations and referencing of articles from a bibliography database. Moreover, the text file size does not increase while inserting figures, making its handling easier. An example LaTeX package for typesetting dissertations is “classicthesis”, written by André Miede ( http://www.miede.de/index.php?page=classicthesis ). Although advantageous, LaTeX can also present disadvantages. In contrast to commonly used text editors (e.g., Microsoft Word), it does not make it easy to track changes in the manuscript, often a preferred way for supervisors to correct theses in an electronic form. Therefore, we suggest you discuss the preferred software with your supervisor when you agree upon your plan (Rule 1).

A professional design software can also speed up the creation of figures for your thesis, which can be further used for your final PhD presentation, so check whether your institution provides an introductory course to some of these software packages. Taking a one-day class can save you a lot of time later. Organize your bibliography; many excellent reference managers exist that allow you to catalogue and annotate the papers you have read and integrate them seamlessly with text processing software (e.g., Endnote or the freely available Mendeley and Readcube). Choose one that fits your needs and check whether your university provides institutional licenses (and be disciplined about adding each paper you read to it!).

Consider using version control software. This allows you to keep a log of all the changes you make to a file or directory and makes it easy to recover a previous version if something goes wrong or to merge two versions of a file. This is often used in software projects to produce, document, and improve computer code, but it can also be useful when working on a long text document, such as a dissertation. Commonly used free version control systems include git/GitHub [git, github], Subversion [svn], and Bazaar [bzr] (see Table 1 ).

Most important of all is to have a backup strategy. A hard-drive crash at the wrong moment can set your work back by weeks and jeopardize the timely completion of your thesis. Institutions or departments will often have a backup system employees can make use of. This may require you to install a specific piece of software on your computer that backs up your data at regular intervals or to save your file on an institute server. Contact the information technology (IT) department at your institute to learn about your options.

Rule 6: Know Your University's Procedures and Regulations

During the course of your PhD, you will have been acquiring project management skills, such as organizing your time and resources, reviewing progress, and meeting deadlines. In order to avoid last-minute surprises, you can capitalize on and develop these skills during the final year of your PhD. Prepare a list of all the documents and certificates that you will need, even before you start writing; it will be of critical importance to include this information in your plan and priorities (Rules 1 and 2). Having a good working relationship with someone who can help you to navigate a bureaucratic process will usually be an asset and will ensure you are familiar and aware of all the rules. Considering the amount of documents and certificates that are needed for handing in a thesis, it is advantageous to introduce yourself to the institute secretary or human resources manager, as well as any other staff who can help you to deal with the administrative side of the process. Don't rely on previous documents, which may have been revised since the last person in your group graduated. Be aware of all the necessary institutional administrative requirements (e.g., credit points, research seminar attendance, publications, etc.), as well as the faculty criteria, including deadlines (as well the date of the graduation ceremony), thesis copy numbers and format, font size, binding, and supporting documents. Take time to go through the list of documents and start collecting them in a folder. Get the formatting right early on, e.g., by using a dedicated template file. With your documents in order, you are bound to feel you have the situation more under control, which can help to reduce stress and enable you to focus more closely on writing your thesis.

Rule 7: Exploit Synergies

You are doing a lot of work for your thesis, so use it to your advantage. The literature review in your introduction can also be used to write and publish a future review article, an idea that might also be welcomed by your supervisor. If you are intending to write a grant proposal for a postdoctoral fellowship on a similar research topic, you can use some of the thesis introduction and future directions as a basis for your research plan. If you are keen to gain teaching experience, you could propose a short course on your specialty area. For instance, at Harvard Medical School, senior graduate students and postdoctoral researchers can be involved in lecturing on short, specialized “nanocourses” [3] . You may also be able to deliver a specialized lecture within a class your supervisor is teaching or, ideally after you have completed the PhD, teach at a workshop or summer school.

Take advantage of opportunities to deliver a talk as an invited speaker at a conference or at another institute, for example, if you are visiting a research group or investigating possible postdoctoral options. This will give you the chance to practice your defense presentation in front of an unfamiliar audience and, at the same time, allow a potential future supervisor and colleagues to gain a more complete picture of your research interests, skills, and personality.

Rule 8: Pay Attention to Your Career

It is not always easy to decide on which career path to follow after your PhD. You have been trained primarily towards an academic research career, and so many PhD graduates choose to continue on with a postdoctoral position as their first career destination. This is perfectly acceptable, and many industrial employers look upon early-career postdoctorals favorably. However, it is worth bearing in mind that permanent tenured positions are hard to secure nowadays and competition is tough, with less than 5% of those who complete a PhD ultimately realizing an academic career [4] . For those who are determined to have an academic career, a strategic research plan is crucial; for those who are unsure, a viable alternative career plan is equally important.

Knowledge of your professional and personal skills and capabilities, personality, values, and interests, as well as how to map them onto the job market and sell them to employers, will help you to make effective career decisions and a successful transition to your next job. In addition, factors such as your personal situation and priorities, mobility, and preferred work–life balance all need to be taken into consideration before entering the complicated world of the job market. Be ready to make compromises either in your work or personal life, depending on your priorities. Take advantage of courses and professional career guidance and coaching while you are still at university, as they are usually offered free of charge. Along with books and websites, face-to-face career support can help raise your self-awareness and knowledge of the job market so you can start to decide which types of career may best suit you. Blackford's book and blog [4] contain useful material on career planning for bioscientists, with concrete examples of different career paths within and outside of academia, and further information and resources. In addition, the Science Careers portal offers an online tool [5] to create an individual development plan and explore your career options based on your skills, interests, and values. Also, take advantage of dedicated career job boards associated with specialist websites, such as that of the International Society for Computational Biology [6] .

How soon should you start job seeking? Finding a job whilst writing up your thesis can seem like an attractive prospect, but it's important to consider that applying for jobs can easily take up as much time as working a full-time job. Then, if you do secure a job, the time left for writing up your thesis, completing experiments, and wrapping up your lab work will be seriously limited. It is exceedingly hard to write a doctoral thesis in the evenings after work or on the weekends, so in case you are offered a job before you have finished the PhD, consider seriously how this might affect your work and life. On the other hand, finishing a PhD when scholarship money has been seriously reduced (or has run out) comes with a different set of challenges. Many students need to tap into their savings (if indeed they have any), drastically reduce their spending, and move out of their accommodation. Losing employment at the university can also affect health insurance, social security, and visa status. Finishing up a PhD under these additional constraints and pressures can be extremely challenging, both logistically and psychologically. To ensure that you can concentrate all your time on (and get paid for) finishing your PhD, start planning ahead one year earlier. Be aware of your university's regulations, talk to your supervisor about the funding situation (is it possible for you stay on as a postdoctoral researcher for a short period?), and know what you need to do in order to finish on time (Rule 1).

Rule 9: Network

Unofficial statistics tell us that only around 30% of jobs are advertised, so to enhance your employment prospects you would be well advised to network in order to access the hidden job market. During the final year of your PhD, and even earlier, you can build up and extend your network so that your chances of finding the job of your choice are optimized. If you are looking for research positions, your supervisor might have contacts or know about positions available in academia or industry. Reviewing your personal network further will reveal it consists of colleagues, friends, and family. You may also have a wider network of collaborators (research and industry), people associated with your research whom you have met during the course of your PhD, as well as many others. Conferences, seminars, informal gatherings, and learned societies are great places to meet the academic community face to face or to broaden your horizons. Job fairs are held at universities and sometimes during conferences, where experts from industry look for potential employees as well as sometimes provide informal advice on your curriculum vitae (CV). Try to exploit these opportunities if they come your way.

A relatively recent, and highly democratic, addition to the networking system is social media, through which it is possible to meet people online from all over the world and from all walks of life. More and more professors, researchers, students, policy makers, science “celebrities”, science communicators, industry personnel, and professionals have a presence on social media, using it primarily for work-related purposes. Researchgate, LinkedIn, and Twitter are probably the most useful platforms for networking with academia, business, and the wider world, respectively. Your online profile should be fully completed and reflect your expertise, achievements, and personality. Used to greatest effect, social media will give you access to information, jobs, and influential people—its importance to you as a PhD student cannot be overestimated.

Rule 10: Leave on Good Terms

Wrap up the work in your lab, especially if you are leaving the institute. This includes any required training of new personnel in the methods and techniques you use, having lab notes in order, making it easy for other lab members to access your protocols and data, organizing and labelling your reagents and equipment, and documenting your computer code. If someone is taking over an unfinished project from you, take time to hand it over. Discuss with your supervisor to find a solution for who will do the final experiments, how to proceed with the writing of journal manuscripts, and what should be the order of authorship. If you have started a project that you want to take with you to your new lab, discuss with your supervisor how to handle possible future publications and how to agree on material transfer. If your work resulted in patents or patentable innovations, make sure you are clear about regulations concerning patents and intellectual property, both at your PhD institution and at the institution to which you are moving. Stay in touch with your former colleagues and cultivate the contacts you have made in graduate school; they are sure to be useful during the course of your career.

154. How to Plan Your PhD w/ Hugh Kearns

A PhD Plan sounds like an oxymoron, but charting a path to graduation is one of the most important things you can do as a graduate student.

This week, we talk with Hugh Kearns of Thinkwell about why PhD planning is so challenging for students, and learn about some tools that can keep your research on track.

Uncharted Territory

We start the conversation by trying to understand why planning is so difficult and so rare for PhDs.

“They’ve never done a PhD so they don’t know what’s coming,” Kearns observes. “And your previous education doesn’t prepare for research.”

He continues, “Research by its nature is uncertain. Things go wrong. And then what happens is people think that ‘Because I don’t know, we just won’t plan anything! We’ll see what happens.'”

But just because you’ve never done a PhD before, and no one has pursued your particular branch of research, that doesn’t mean you can’t plan ahead.

In fact, there are already tools and strategies, adapted from project management in the business world, that will help you set some guide rails around your winding path to a PhD.

Getting Your PhD Plan Backward

Traditional ‘forward’ planning works great for a well-worn process, like building a house. Builders know from experience that you can’t build the walls until you’ve poured the foundation, and you can’t paint until the drywall is installed.

Each of those activities has a reasonably predictable timeline, so you can plan the construction of a home week by week until it’s finished.

But a PhD isn’t quite at prescriptive. Sure, you know you need to do a literature review, but how long does that take? And how long will experiments take?

The fact is, they’ll take as much time as you give them. There’s no definitive ‘finish line’ for a literature review the way there is for a construction project. You just need to decide how long you’re willing to give the review, and stop when it’s ‘good enough.’

That’s why Kearns recommends ‘backward planning’ for PhDs. You start with an end date in mind (usually when the funding runs out) and work back from there.

His book, Planning Your PhD: All the tools and advice you need to finish your PhD in three years , lays out the steps in detail, and provides some worksheets you can use to create a multi-year Thesis Plan .

In fact, he offers those worksheets for free on the website!

Drilling into Detail

With your Thesis Plan in place, you can begin the process of adding more and more detail to the events closest in time.

This ‘rolling plan’ recognizes that you don’t know what you might be doing on Tuesday March 25 at 3PM three years from now, but you CAN decide on some goals over the next six months.

And don’t stress out if those goals shift, or you don’t quite manage to meet them. If you revisit your plan on a regular schedule, you can adjust and adapt.

If you never set the goal, or never look back at what you planned, you’re guaranteed to drift as the months and years pass by.

Kearns shares some other tools, like his ‘To Day’ list that works in conjunction with your ‘To Do’ list to put a time component on your tasks. That way, you slowly make progress toward your goals, rather than watching your list grow more and more unmanageable.

The Paradox of Choice

Finally, we talk about the surprising fact having more options usually means you are less happy and get less done. Weird, right?

It’s the ‘paradox of choice,’ described by Barry Schwartz in his 2004 book of the same name, and this TED Talk .

For graduate students, that manifests as a list of things you need to get done: pour a gel, set up those reactions, manage the lab animals, read three papers, write a section of a review, respond to your PI’s email, and on and on.

And what happens when you have all those things you COULD be doing? You get overwhelmed and go scroll through Instagram instead.

Kearns recommends that you identify ‘The Next Thing’ (or TNT) and work on that. The smaller you make that task, the better!

We’ve learned over the years that PhD students don’t understand the meaning of the word “small”. Because they’ll say, “OK, I know what the task is: I’ll finish my literature review”. But this is still way too big. So now we use the word micro-task. For example, some micro-tasks are: * Add two paragraphs to the discussion section * Add the new data to Table 1 * Read my supervisor’s comments on my draft Planning Your PhD, by Hugh Kearns and Maria Gardiner

Keeping ‘The Next Thing’ manageable prevents your brain from shutting down and giving up.

And if you stack up enough ‘The Next Things’, day after day and week after week, you’ll soon be making measurable progress on your PhD!

There’s so many people that I’ve already approached and address the subject, and while it’s still needs to be addressed and is of great value to younger grad students… There’s something that I have experienced two times in my graduate student career, that I’ve yet to hear any academic institution discuss… What happens, when you are left alone when your advisor dies, and/or commits suicide? I realize this is a very small population of the onions that you speak to, but to those of us that I’ve gone through this, it is absolutely devastating. I’m the first person from my family to go to college, let alone grad school. Trying to finish my PhD was absolutely, not supported the least. When my advisor died it just sent things out of control. So, how do you propose to integrate maybe even in a small portion… However uncomfortable it may be, if a student is to be in such a situation where their advisor dies, And they are not receiving any support by their department which leaves them in even greater shock.. And perhaps I need them selves in limbo for years. This is what happened to me. But I had extenuating circumstances. I fought as hard as I could, While escaping a very unsafe home situation… Essentially, how do you bring up these topics for students for the worst possible case scenario for when things go wrong? Hopefully, they never do reach a point Were you have to learn that your advisor died or that you were advisor completed suicide in one of the parking garages is in your university. If you happen to plan your research out, let’s say perfectly; you have five research papers and you were on track to graduate and you were ready to give your defense And anticipated your graduation to be the next upcoming semester. You did everything right. Your plan worked. You follow the rules. What advice for students would you suggest, to prevent them from essentially falling apart completely? Because at the end of the day they put their entire lives into what they are doing here to finish up and move on with their lives. They put relationships and marriages and children on hold… So what happens when a disaster strikes? I think that should be a topic you might want to touch on in the future. Like I said, might be a small demographic, but I lost 1 advisor suddenly, An excellent professor to suicide, a remarkable and rising star an excellent lab-mate to suicide as well. I think that if we can integrate mental health and just kind of trickle it into conversations more, and dedicate more time to Just discussing it, and just discussing that mental health is as important as physical health… mental health won’t be as stigmatized as it unfortunately still is at this very day. Overall, I’m happy about the topic of this episode and this podcast in general. However, I think there are modern in inclusive pathways and things that Students really need help with especially regarding mental health and support… Especially when the loss of a lame or a advisor or a loved one… If any of this occurs, and they feel like they cannot reach out, that can be detrimental to your perfect research plan. So at the end of the day, your research plan could mean absolutely nothing. You have to essentially plan for the worst. Sounds sounds like a very pessimistic thing, I understand. But having gone through this myself, I don’t want anybody to ever experience what I have. We can only start making these extreme cases easier to deal with by Integrating it in our discussions. After all, it is quite relatable to your planning of your research and your PhD career. Because when your world gets turned upside down, your “plan” Could be dead or worthless. How to Write a Great PhD Research Proposal

You'll need to write a research proposal if you're submitting your own project plan as part of a PhD application. A good PhD proposal outlines the scope and significance of your topic and explains how you plan to research it.

It's helpful to think about the proposal like this: if the rest of your application explains your ability to do a PhD, the proposal demonstrates the actual PhD you plan to do. Of course, being able to effectively plan and explain a research project is one of the key qualifications for being able to complete one, which is why the proposal is such an important part of the PhD application process.

Thankfully, the secret to writing a good research proposal isn't complicated. It's simply a case of understanding what the proposal is for, what it needs to do and how it needs to be put together.

What is a phd research proposal.

First things first, do you need a research proposal for your PhD? It depends on the kind of project you want to do:

  • If your PhD is advertised by a university, you probably won't need to submit a research proposal for it. The broad aims and objectives for your PhD will already be defined: you just need to prove you're the right person to do it.
  • But, if you're proposing your own research topic to research within a university's PhD programme, you will need to write a proposal for it (the clue is in the word "proposing")

As a rule, advertised PhDs are very common in STEM subjects, whereas Arts, Humanities and Social Science students are more likely to propose their own PhDs.

Some PhD programmes actually wait and ask students to develop their research proposal during the degree (usually after they've completed some initial training). This is normal in the USA , but it's becoming more common for some UKRI-funded UK PhDs.

For the purposes of this guide we're going to assume that you do need to write a good research proposal for your PhD application. So let's explore what's involved in that.

What should a research proposal for PhD admission include?

It's natural to be a little intimidated at the thought of structuring a PhD proposal, particularly if you've never written anything like this before.

But here's the thing: a research proposal isn't a fiendish test designed to catch you out and stop you ever doing a PhD. It's actually much more boring than that.

All a research proposal really is is a document that demonstrates three things:

  • Your PhD is worthwhile
  • Your PhD is feasible
  • You are capable of completing it at this university

Or to put it even more simply: the PhD is worth doing, it's doable and you can do it.

Demonstrate your PhD is worthwhile (the what and the why)

A successful PhD project has to make a significant original contribution to knowledge. If it doesn't, it won't meet the criteria for a doctoral degree and will probably fail the viva exam .

Your PhD proposal itself doesn't have to meet those criteria (or pass a viva!) but it does need to indicate that your PhD project eventually will.

It does that by first demonstrating that your research topic is original. That means nobody else has studied this same topic (or one very similar) before.

There are all sorts of ways a PhD can be original. You might examine new data or primary sources, to look at existing material from a fresh perspective, or deal with the impact of new events. It doesn't matter how your project is original, so long as your proposal is really specific about what makes it original.

You also need to explain why your proposed research will be academically significant. To do this properly, you'll need to acknowledge relevant existing scholarship and explain how your research will relate to it. You don't need to be exhaustive at this point, but you should be able to show how your PhD will contribute to its field and – ideally – indicate some of the gaps in knowledge it will aim to fill.

The final step in demonstrating your PhD is worthwhile is to suggest what will become possible as a result of your research. How could other researchers use or build upon your results? What might closing those gaps in academic knowledge mean for audiences outside the unviversity?

Demonstrate your PhD is feasible (the how)

It isn't enough just to show that your research is worth doing; it also needs to actually be doable.

The length of a full-time PhD is around three to four years in most countries (it's longer in for a PhD in the USA , but you don't spend all that time doing research).

Three years may seem like a long time, but researching a PhD is a lot of work and you'll probably spend at least some of your time on other activities like teaching, conference presentations or even publication.

So, one of the things your proposal needs to do is demonstrate that your project is feasible: that it fits within the scope of a PhD.

The most important criteria for this is to be clear about what you plan to do. It should be obvious from your proposal what the scope of your project is – what is and isn't included within it.

You also need to outline how you plan to go about your research. Where will you start and what order do you expect to proceed in? Is the logic for that obvious? If not, it's probably a good idea to explain it.

Finally, you need to explain the methodology you plan to use. This could include techniques for collecting data and sources, theoretical perspectives for analysing them – or both. You may also need to detail specific equipment you expect to use or fieldwork you'll need to undertake (including trips to archives or other external resources).

None of this needs to be exact or completely final. The key word here is 'plan' – but you do need to have one.

Demonstrate that you can complete it at this university (the who and the where)

So far we've thought about the project itself: what makes it worth doing and how it's going to get done. But your proposal also needs to address the who and the where: why are you the right person to carry out this research, and why do you want to do it at this particular university?

The first part of this is easier than it probably looks. Writing a good research proposal demonstrates enthusiasm for your project much more convincingly than simply saying you're very interested in it (a classic case of 'show, don't tell').

You also don't need to repeat your grades and academic achievements (other parts of your PhD application will cover those). Instead, try to underline experiences that relate to this project. Has a particular module or Masters dissertation topic prepared you with useful subject knowledge or methodological skills? If so, highlight it.

It's also fine, within reason, to be honest about the skills you don't have and to identify your training needs. This shows you're being practical about your project and thinking seriously about what it will require. Just make sure you can realistically acquire the skills and training you need within the time available (this goes back to the feasibility).

Showing your project is a good fit for the university is also relatively simple. There should already be some reasons why you've chosen this university for your PhD so make sure you explain what they are. Perhaps there's a particular supervisor you'd like to work with , or facilities and resources your research could use. The key is to emphasise the fit between the project and the university – so don't just say you want to research there because it's highly ranked .

PhD research proposal structure

Hopefully the above sections have given you a few ideas for the things your proposal needs to include. Let's be honest though, the scariest thing about a proposal isn't deciding what to include: it's actually writing it.

But, if we flip that on its head, we remember that all a research proposal really is is a piece of writing that follows a pretty standard format. And that's a lot less scary.

Research proposal structure

Because proposals for PhD all have to do the same things, they mostly follow a similar structure. Yours will probably go something like this:

  • Title – Keep it simple and descriptive: the clever alliteration and quotes can come later when you write up your thesis. For now, you just want the person reading this to know exactly what your research is about and, perhaps, which prospective supervisor to send it to.
  • Overview – Start by defining your research question (the what) and explaining how it contributes to current work in your field (the why). This is also a good place to reference one or two pieces of scholarship: the full literature review can wait until your PhD begins, but you should show that you have some understanding of relevant academic research.
  • Methodology – Make sure the reader understands the practical and / or theoretical approaches you'll take to your research. What data will you collect, how will you collect it and how will you analyse it? Ideally refer to relevant research methods and models. It's also a good idea to provide some sort of roadmap for how you'll go about things. Don't worry, you can change it later (and you will).
  • Outcomes and impact – What will exist as a result of your research (other than just another PhD on a library shelf) and what will it make possible? You don't need to identify every specific outcome from your project (blue sky research is fine) but you should think about what some potential outcomes might be.

You probably won't need to include a specific conclusion - it should be obvious, by now, what your project is doing, how you're going to do it and why that matters. A quick summary sentence is fine though, if you think it will help.

Writing tips

Being able to effectively communicate academic concepts, ideas and results is a key skill for PhD research in all subjects . Think of your proposal as a chance to demonstrate this.

The good news is that the key principles of good proposal writing aren't that different from other work you've probably done as a Bachelors or Masters student:

  • Be clear – The person reading your research proposal should know exactly what it is you're proposing to research, with no room for ambiguity and confusion. This is important on a practical level (they need to know where to send it) but it's also important to the success of your application: a confusing proposal suggests a confused project. Try having a friend read it and ask them "do you know what it is I'm proposing to do here?" (even if they don't understand the details).
  • Be concise – You will have more ideas than you can include in your proposal. That's fine. Choose the best ones and leave the others for your interview .
  • be coherent – Follow something like the structure above. Don't start with your methodology, then say what it is you want to research.

How long should a PhD research proposal be?

Honestly? As long as the university asks for it to be. Most will have guidelines and you should follow them closely if so.

If you honestly can't find a suggested word count for your proposal, then consider asking a prospective supervisor . If you still aren't sure, aim for somewhere between 1,000-2,000 words .

As a very general rule, Arts, Humanities and Social Sciences are a bit longer than STEM proposals (and a lot of STEM students don't have to write one anyway, as we've explained).

Research proposal for PhD admission - dos and don'ts

Research proposals are a popular topic over on the FindAPhD blog , where we've shared stories of how students wrote theirs , along with mistakes to avoid and a counter-intuitive look at the things a PhD proposal doesn't actually need to do .

Here are a few general tips and mistakes to avoid:

#1 Give yourself enough time to do a good job

Preparing to write a PhD proposal takes time and effort. None of this is wasted as the process of evaluating and framing your ideas for a proposal will improve your project plan immensely. So will the need to decide which ideas to include.

But you need time and space to do that, so make sure you get it. How long it will take to write your PhD proposal is heavily dependent on your personal working style, but you'll likely need to give yourself at least a few weeks to do a good job.

#2 Set out to impress

A good proposal isn't a begging letter. You're approaching the university with a great idea that's going to contribute to and enhance their research. Be honest, be realistic, but don't be unnecessarily humble. They should want you and your project.

#3 Demonstrate original thinking!

You may not need to present original research findings yet, but your proposal does need to present original ideas – and it should be clear why and how those ideas are original.

Make sure you indicate how your project is going to expand, enhance or even correct existing work in your field. Remember that making an "original contribution to knowledge" is a key part of what a PhD is .

#1 Send the same proposal to several universities

A good proposal needs to explain why you want to do your research at a particular university. That's a big part of the feasibility (the fit between project, person and place) and methodology (how are you going to use this university's equipment and archives; when and where will you need to travel).

It's OK to apply to more than one university in parallel, but, in that case, you're writing research proposals .

#2 Use online proposal templates (without evaluating them first!)

It can be tempting to search for PhD proposal samples on the internet, but make sure you evaluate what you find. Some websites may host old proposals from previous PhD students, but there's no way of knowing how relevant these are to your subject and university – or if they were even successful! More 'generic' research proposal examples can offer guidance, but they won't be tailored to your specific project.

The best place to look for a PhD proposal sample is your university. Consider asking your supervisor if they can share a good proposal from a previous student in your subject – or put you in touch with a current student you can ask.

#3 Confuse the proposal with the PhD

We've covered this on the blog , but it's simple enough to include here too.

You're setting out to do a PhD, but you (probably!) haven't done one yet. So you don't need to include research findings, in-depth analysis or a comprehesive literature review. You need to make a case for the research and analysis you want to do.

#4 Ignore your university's help and guidance

The advice on this page is necessarily quite general. We're considering adding guides to writing PhD proposals in specific subjects in future but, for now, the best place to get specific advice for your academic field is probably the university you're applying to.

And remember: if they give you a structure and a word count, stick to it.

Creating a strategy for success.

A multi-year research project such as a PhD or MPhil is a huge undertaking. It’s important to develop an action plan to stay on track.

When you commence your graduate research student at Macquarie University, you will have a date for thesis submission, which you and your supervisor should use to plot out your milestones.

The plan should take into account:

  • the duration of your degree
  • the specific requirements of your discipline
  • the requirements of your scholarship (if applicable).

Every thesis is different, so it's important to craft an action plan that works for you. To see what an action plan looks like, take a look at the samples below.

Note: Students enrolled in a Bachelor of Philosophy or Master of Research do not need an action plan like the samples below, as their programs are already structured.

Every successful route to completion of a dissertation begins with a practical and workable action plan. Your action plan is a vital tool to help you stay focused, on track and motivated throughout your journey. It is highly likely your supervisor will ask you to make a plan, so that she/he can advise on time frames, targets and goals, and so on.

Before you begin to plot your write-up plan, you need to know when, where, how, and with what or whom you will do your research, and how you will collect and analyse your data.

You need to think about how long it will take you to collect and collate your data and research, and then build that into overall time frames.

Planning your write-up

Then, once you have worked out how much time you will need for data collection, you can then devise your write-up plan.

Use the following rules to help you:

  • Write about a page a day.
  • Work backwards from at least two weeks before the submission date to calculate when you need to start your writing. (A page is about 500 words, so, for example, if your dissertation is 15,000 words long, you will need at least 30 days to do the writing.)
  • Leave two or more weeks at the end for editing and proofreading.
  • Include interim achievable targets to help you stay focused and on track.
  • Work on different sections - and if you get bogged down switch from one to another.
  • Ask a close friend to read it bit by bit and provide feedback on clarity, accuracy and appropriacy.
  • Build in meetings slots with your supervisor. Make sure these are strategically placed to catch possible problems at different stages of the write up, or sections of your dissertation.
  • Use time-management tools to help you stay on track, e.g. a Gantt chart, or a planning app on your phone.
  • Once you have devised your plan, stick to it... It's there for a reason!

Remember it may take you up to three times longer than you expect to write up your dissertation, so build this contingency into your schedule.

The Action Plan Template for Getting a PhD

The doctoral program is unlike any other graduate course of study because it is longer and more complex. The need for a good plan is essential to keep on track and finish the program on time. Often, universities don’t provide you with an action plan template for getting a PhD. Follow these tips to learn why you need a PhD action plan and how to create one to ensure you have everything covered.

Why Create a PhD Action Plan?

Undergraduate and Master’s degree programs typically initiate a solid structure for their students; requirements are clearly spelled out, classes are scheduled according to student needs, and professors are keenly aware of what each class needs to get through the program.

This is not so with most PhD programs. Each program is individualized to the student so professors aren’t dealing with groups of student needs, they are dealing with doctoral students on a one to one basis. The result is a decreased urgency to fulfill doctoral student needs. Unless the PhD student takes an active role in getting through the program, he/she could linger as a student for years at the university until finally he/she hits the maximum number of years the university allows a doctoral student to be enrolled in the program and the student must leave.

Planning Progress through a PhD Program

The PhD action plan is more than just a schedule. It is a tool to keep you on track over a very long and complicated program. To create a customized action plan, begin by making a list of the four major parts to most doctoral programs. These include coursework, comprehensive examinations, teaching/research assisting, and the dissertation.

Now, break down each of these areas into smaller parts. For example, under coursework, make a list of all of the courses you need to complete as part of the PhD program. These courses should be clearly laid out in the university’s handbook. Then, look to see what the requirements are for each course. Start grouping the courses into the semesters in which you plan to take these courses. Some courses have prerequisites so make sure you organize the courses into groups not only based on when the university will offer them but in sequential order based on these prerequisites.

The dissertation is the most important, most complicated, and most frustrating part of the doctoral program. Creating a dissertation action plan is essential to get through one. Begin by chronologically listing the different parts of the dissertation. Start by scheduling the proposal, the proposal defense, and the final dissertation chair approval you’ll need to move ahead with the project.

The dissertation itself is typically divided into five chapters but completing the dissertation in order from chapter 1 to chapter 5 is a sure way to never finish. For example, you cannot wait until chapter 4 to collect your data; you should already have your data analyzed before you write chapter 1 so that you can be sure your dissertation will meet the requirements necessary for graduation .

Imagine writing almost the entire dissertation and then finding out in chapter 4 that the data didn’t work out the way you predicted it would. You would then have to go back to the drawing board, rewrite most of the dissertation, and extend your program up to a year or more. A good PhD action plan that protects you from such mistakes can help you finish on time and keep you on track so you can avoid having to unnecessarily spend more time as a doctoral student than you have to.

1.4 An Action Plan for a Successful PhD

A PhD is at the top of the academic ladder of achievement, so, in order to take that last step toward academic prestige, you will have to undertake an intensive PhD writing project, which can take anywhere from one year to many years, depending on your research topic and plan.

In order to fulfill your PhD goals, it is important to first develop an action plan to shape and organize your efforts and illustrate to your advisory team that you are committed to the effort required to attain to PhD status.

While you have obviously already tackled dissertations, thesis assignments, research papers and other intensive writing projects, nothing quite prepares you for the required level of research, analysis, presentation and length that a PhD writing project must involve. The level of complexity and the number of references take this writing project to a whole new level of work. That’s why you might appreciate the tips provided here on how to create an action plan for a successful PhD dissertation.

Getting Started on a PhD Action Plan

Here are some guidelines on creating your successful PhD action plan:

  • Reflect on past work: If you are at the PhD level of study, you more than likely had to write a Master’s level dissertation or thesis to get there. Usually, you will simply continue further and deeper research into a problem you had previously explored. You may take it in a new direction, but your past work should be a good starting point for your PhD action plan.
  • Research the topic: Before you present anything to your advisors, it is best to do some preliminary, but detailed, research on the PhD topic that you are proposing. As you did with other research papers, you should carefully compile strong academic sources, such as books, articles, and even Internet sources that can illustrate the real-world problem in action. Begin to sort the research so that you can put some of the information into your PhD proposal.
  • Prepare a presentation: Different colleges and advisors will have different expectations about the level of presentation that they want to see in regards to your PhD action plan. Some may only require an outline whilst others will want a detailed proposal upfront. Be sure to ask your advisors what they prefer and get their guidelines upfront so you can prepare the most effective presentation.
  • Practice and rehearse: You will have to present before your advisors, so be prepared with answers to questions they may ask and have a rehearsed speech as to why you believe this would make a good PhD research topic.
  • Begin your PhD project: The last step in your PhD action plan is to begin researching and writing your PhD project. And, this is no small feat to accomplish. This will take many months of commitment and effort on your part, including careful thought, methodical research, numerous revisions and regular meetings with your advisors. However, the PhD dissertation will be a summary of all the hard work you’ve put into your academic career over the years and add to your credibility in the field of your choice.
