Frontier is rolling out 7-gig internet service, why you need a longer password, quick links, convert a pdf file to powerpoint using adobe acrobat dc, convert a pdf file to powerpoint using an online pdf converter.
If you have a PDF file that you would like to convert to a PowerPoint presentation, you can download a program to quickly do the work for you, or you can use one of the many available online converters.
Adobe Acrobat has a couple of different software options for handling PDF files to choose from--- Acrobat Standard DC and Acrobat Pro DC. The standard version is for Windows only, while the pro version works with both Windows and Mac.
These run for $12.99 and $14.99 per month, respectively, so unless you’re already using one of these, it’s probably not worth the money just to convert a PDF file to PowerPoint. However, Adobe Acrobat is the best program on the market for anything dealing with PDF files, so we’d recommend subscribing to one if you frequently do any sort of work with PDF files.
Best yet, Acrobat Pro DC has a free trial , so if you’re unfamiliar with Adobe Acrobat, it costs nothing to give it a try.
In this example, we’ll be using Adobe Acrobat Pro DC. Open the PDF file you’d like to convert. In the right-hand pane of the window, select “Export PDF”.
Now, you’ll be faced with a list of different export options. Choose “Microsoft PowerPoint” from the list and select “Export”.
In Windows Explorer (or Finder if you’re using Mac), select a location to save the file and select “Save”.
Open the newly saved PowerPoint and you’ll see the content of the PDF file (with each slide representing one page) in the preview pane.
There's certainly no shortage of online PDF converters---some free, some paid. We recommend Smallpdf because it’s quick, free, and keeps the format of the content pretty consistent. We’ll be using this online tool for this example, but the process isn’t too different between each converter, so feel free to play around and find one you like best.
With SmallPDF, all you need to do is drag and drop your PDF file on the converter screen, or you can use the file searcher. Whichever method you choose, once the file is uploaded, the conversion will automatically begin.
Once the conversion is complete, select “Download”.
After the download is finished, open the newly saved PowerPoint and you’ll see the content of the PDF file (with each slide representing one page) in the preview pane.

Microsoft Copilot - Create a PowerPoint from a PDF: A Step-by-Step Guide
Step 1: Introduction to the New Feature
Microsoft Copilot has rolled out a fantastic new feature for PowerPoint users. If you're familiar with converting Word documents into PowerPoint presentations, you'll be excited to learn that you can now do the same with PDF files. This is a game-changer for anyone who needs to create presentations quickly and efficiently.
In this guide, I'll walk you through how to transform a PDF document into a sleek PowerPoint presentation using Copilot. Whether you're preparing for a big presentation or repurposing existing content, this new feature is a real time-saver.

Step 2: Accessing Copilot in PowerPoint
First, open Microsoft PowerPoint. If you're a Copilot user, you'll find the Copilot feature under the Home tab, all the way over to the far right. This is where the magic happens. Let's dive right in.

Microsoft Copilot is one of the latest features that has caught the attention of PowerPoint users. In this blog, we will explore the capabilities of Copilot and how it can help you create a PowerPoint presentation effortlessly.
Step 3: Preparing Your PDF File
Before you start, make sure you have your PDF file ready. For this example, I used a 42-page PDF from the Bureau of Labor Statistics. It doesn't matter what the content is; the key is that it's a PDF file you want to convert into a PowerPoint presentation.
You don't need to have the Word document for this process, which is particularly useful if you only have the PDF version of your content. Close the PDF file if it's open, just to ensure everything works smoothly.
Step 4: Creating a Presentation from a PDF
Navigate to the Copilot feature in PowerPoint. You'll see the option to "Create a Presentation from a File." Click on it. The system will prompt you to select the file type. Traditionally, it looks for Word documents stored in OneDrive or SharePoint. Make sure your PDF is stored in OneDrive or SharePoint.
Type in the name of your PDF file. In my case, I typed "qrc" to find the PDF below. Select your file and hit "Open." Copilot will start processing the file to create your presentation.
Type the name of the file
Copilot in Teams is designed to enhance your meeting experience by offering real-time assistance and summaries, ensuring you're always in the loop, even if you join late.
Step 5: Reviewing the Generated Presentation
Once Copilot has processed your PDF, it will generate an outline based on the content. This outline will be visible on the right side of your screen in the Copilot taskpane. The system also creates speaker notes, just like it would for a Word document.
In this example, Copilot created 46 slides from the 42-page PDF. The slides include an agenda, graphics, tables, and images based on the PDF's content. This is incredibly useful for creating visually appealing presentations quickly.
Copilot PPT from PDF - Outline
Step 6: Customizing Your Presentation
With your slides generated, you can now customize them to fit your needs. You might want to rearrange slides, add additional content, or tweak the design. The generated slides are a great starting point, but customization will make your presentation truly stand out.
Focus on the key points you want to highlight and ensure your slides are engaging. Use the speaker notes generated by Copilot as a guide for your presentation.

How to present a PDF like a PowerPoint or convert a PDF to PPT
- July 26, 2022
- Karolin Koestler, Senior Marketing Manager EMEA
Sometimes, you may need to use content from a PDF file in another program such as Microsoft PowerPoint AKA convert PDF to PPT. Yet, copying and pasting can cause formatting problems. It can be difficult to clean up, so you might be tempted just to retype it to save time.
Fortunately, there are two easy ways that you can essentially present a PDF like it’s a PowerPoint presentation. One is to open your PDF in full screen. The other is to convert the PDF file into a PowerPoint presentation. Both are simple to achieve. Here’s how:
Present a PDF in full-screen mode as if it were a PowerPoint presentation.
- Foxit PDF Editor and Foxit PDF Reader allow you to open your PDF documents.
- Click on “View” to choose “Enter Full Screen” (or “ Slideshow ”).
- Navigate using the arrow keys while presenting.
- Once you are done, press the escape key and exit full-screen mode.
Converting PDF to PPT using Foxit
Foxit PDF Editor allows you to convert PDF files into Microsoft PowerPoint. This is a great way to make use of all the features that PPT files have to offer for presentations such as:
Use transitions
PowerPoint allows for smooth, customizable transitions between slides. They add motion and visual flair to your presentations. Speakers can also use transitions to express their creativity and create a transition that matches their presentation’s theme. Transitions allow content on-screen to appear at different times. This creates depth and layers.
Make easy use of video
A PowerPoint presentation can be enhanced with a video just like an image. You can use video in many different ways. If done correctly, it can be very powerful and engaging. PowerPoint allows the presentation to play a video clip and also allows for looping video backgrounds that are engaging and slick.
Give presenters familiar control
You can give your user more control over how you present by running your presentation deck in the same software it was created. PowerPoint files can be saved to ‘show mode’ so that they open on slide 1, in full screen. To create a non-linear presentation where the speaker can move from one section to another, you can use features such as ‘ zoom ‘.
Here’s how to convert your PDF file to a PowerPoint presentation:
- Click CONVERT or select FILE > Export.
- Choose the PPT format.
- In the Save As dialog box, select which page(s), as well as whether the document contains images or pure text.
This is all there is to it. Foxit gives you a lot more flexibility when it comes to changing or reusing PDF files in presentations.

Save PowerPoint presentations as PDF files
When you save presentation as a PDF file it freezes the formatting and layout. People can view the slides even if they don’t have PowerPoint, but they can’t make changes to it.
Select File > Export .
Click Create PDF/XPS Document , then click Create PDF/XPS .
In the Publish as PDF or XPS dialog box, choose a location to save the file to. If you want it to have a different name, enter it in the File name box.
Optionally, if you want to change what the final PDF file is like, do any of the following:
At Optimize for , select Standard for higher quality (for example, if you want to print it). Select Minimum size to make the file smaller (for example, if you want to send it as an e-mail attachment).
Click Options to set how the presentation will appear as a PDF. Here are some of the available options:
To save the current slide only as a PDF, under Range , select Current slide .
To save specific slides as PDF, in Slides(s) , enter the slide number range in From and To boxes.
If you don't want to save slides, but instead only save comments, handouts, or Outline view, under Publish what , select an appropriate option. You can also specify the number of slides to appear in Slides per page dropdown box, and modify the order ( Horizontal or Vertical ).
You can choose to include frame slides, hidden slides, comments, ink, non-printing information such as Document properties or Document structure tags, in your PDF by selecting the appropriate options.
Click Publish .
There are two ways to make your PowerPoint for macOS presentation a PDF.
You can save your presentation as a PDF in File > Save As .
You can export your presentation as a PDF file by going to File > Export .
Both methods do the same thing, so you can choose whichever you're more familiar with when you want to create a PDF version of your presentation.
Method 1: Save your presentation as a PDF
Select File > Save As .
Choose the location where you'd like to save your PDF, and then in the File Format menu, choose PDF.
Method 2: Export your presentation as a PDF
In the File Format menu, choose PDF.
Note: If you’d like to have more options to customize PDF conversions of presentations in PowerPoint for macOS, let us know by providing us feedback. See How do I give feedback on Microsoft Office? for more information.
Set the print quality of the PDF
Features such as saving notes, saving slides as handouts, including hidden slides in the PDF, or setting the PDF to a smaller file size aren't available. However, you can set the print quality of a PDF to a higher or lower standard.
Tip: PowerPoint for macOS doesn't preserve hyperlinks in PDFs but if you save your presentation to OneDrive you can open it in PowerPoint for the web and download as PDF from there. PDF files generated from PowerPoint for the web preserve hyperlinks, are accessible, and also tend to have a smaller file size.
You can set the print quality of the PDF to High , Medium , or Low —depending on your need. By default, the print quality is set to High—which is the optimal choice for printing a PDF. Follow these instructions to set the print quality of the PDF:
Click the PowerPoint menu > Preferences .
In the PowerPoint Preferences dialog box, click General .
Under Print Quality (Paper/PDF) , set the Desired Quality to an option of your choice.
Click the File tab, click Download As , and then click Download as PDF . (The file is converted to PDF, and then a dialog box tells you that it is ready to download.
Click Download . A message bar appears to show you that the downloaded PDF file is ready to save to your computer. (The exact message varies depending on the web browser you're using.)
Click Save As , and then a dialog box appears that allows you to specify where to save the file on your computer.

Create PowerPoint Presentations with ChatGPT: 4 Easy Ways
You probably know that ChatGPT is a powerful AI tool for generating text and answering questions. However, it can do much more than that. In fact, ChatGPT is changing how we approach presentation design.
Crafting professional PowerPoint presentations can be time-consuming and challenging, especially if you’re not a design expert. Luckily, ChatGPT makes it easier, helping you save time and create high-quality, engaging presentations.
In this article, we’ll explore how to use ChatGPT to create a PowerPoint Presentation. Let’s look at three simple ways ChatGPT can improve your presentation process.
Keep scrolling for step-by-step instructions, or check out the screenshots and GIFs to make the most of using ChatGPT for presentations.
Here are the topics we'll cover:
Can ChatGPT make a PowerPoint?
Why use chatgpt for powerpoint presentations.
- How to use ChatGPT to create a PowerPoint presentation?
Tips for Using ChatGPT to Create Presentations
Why 24slides beats ai in presentation design.
Technically, no. ChatGPT doesn't create PowerPoint files directly and can't design visual elements. However, it can be a useful tool in the presentation creation process.
ChatGPT can help you create content, suggest slide outlines, and provide ideas to enhance your presentation. Here are some other ways ChatGPT can save you time and effort in creating your next PowerPoint:
- ChatGPT can generate VBA code to create slides. Although the slides may be basic, they can be a good starting point for your presentation.
- Don’t know where to start? The AIPRM extension helps you get the most out of ChatGPT with ready-made prompts for your next PPT.
- Want to maximize any AI presentation tool ? ChatGPT can help you craft the perfect prompt. The AI tool will then turn ChatGPT's output into a PowerPoint presentation.
Later, I’ll show you how to use ChatGPT to generate a PowerPoint presentation for each of these methods.
Using ChatGPT can be a game-changer for creating PowerPoint presentations. Here’s why:
- Save Time: Making a presentation not only requires effort but also time. ChatGPT quickly provides content, speeding up the process and saving you from starting from scratch.
- Enhance Content: It helps refine your message, suggest improvements, and create engaging text. It also simplifies complex concepts for your slides.
- Generate Ideas: ChatGPT gives you fresh ideas and unique insights for your slides, helping you present your material in a more compelling way.
- Automate Tasks: ChatGPT can generate VBA code to automate repetitive tasks, like formatting and slide design. This makes it easier to handle large presentations.
- Ensure Consistency: ChatGPT ensures consistency in language, quality, and tone, giving your presentation a professional touch. It also minimizes grammar and language errors, making your slides clear and well-written.
- Seamless Integration: With tools like the AIPRM extension , you can use pre-made prompts to get a jump start on creating effective presentations.
How to use ChatGPT to create a PowerPoint presentation
Now that we know ChatGPT helps create PowerPoint presentations, let's explore the different ways we can use it.
Feel free to explore the method you find most useful!
- Use ChatGPT for Slides Outline and Content
- Use ChatGPT to Create a PowerPoint Using VBA Codes
- Use ChatGPT AIPRM Extension to create a PowerPoint
Use ChatGPT with an AI Presentation Tool
1. use chatgpt for slides outline and content.
ChatGPT can help you brainstorm and outline your slides. You can generate detailed content for each slide by providing key points to cover in your presentation.
Step 1: Ask ChatGPT for a Table of Contents
First, you need a strong prompt. It should clearly state the topic, audience, objective, and slide count to ensure the content is relevant, well-organized, and has the right tone.
Use this ChatGPT prompt format:
“As an expert in [field/topic], create an outline for a PowerPoint presentation on [list of topics] for [target audience]. The objective is [state the objective]. Structure it to fit [number] slides. Use a [tone/style] tone.”
Here’s an example:
Step 2: Refine the ChatGPT Output
Once the outline is created, you have a good starting point to refine the content. You can expand or reformulate the information on each slide. The goal is to help ChatGPT get the result you're looking for.
Use this ChatGPT prompt to improve the content:
"Please expand the information for each slide. Include interesting facts to enhance engagement and provide more value."
Step 3: Add ChatGPT content to your PowerPoint
Once you have the content for your slides, you can transfer it directly to your PowerPoint presentation. Just copy and paste the content generated by ChatGPT, making sure you keep the structure.
Format the text by adjusting fonts and sizes to match your slide design. Here’s an example:
You now have a great starting point. From here, You’ll need to add design elements and media, plus adjust the layout and content to enhance visual appeal.
2. Use ChatGPT to create a PowerPoint using VBA codes
By using ChatGPT to provide VBA code, you can streamline the process of creating presentations. But before we start, let's answer this question:
What is VBA?
VBA, or Visual Basic for Applications, is a programming language that automates tasks in Microsoft Office apps like PowerPoint. By using ChatGPT, you can quickly generate VBA code to create and customize PowerPoint presentations, making the process faster and easier.
Step 1: Ask ChatgPT for the VBA PowerPoint code
You can use a ChatGPT prompt like "Write me VBA PowerPoint codes on [topic]..." However, the more detailed your explanation of the content, the better the result will be. Here’s an example:
Write me a VBA code for a PowerPoint presentation on [list of topics] for [target audience]. As an expert in [field/topic], structure it to fit [number] slides with a [tone/style] tone. The objective is [state the objective].
Then, ChatGPT will provide an output like this:
This is the code used to create a presentation in Powerpoint.
Step 2: Open PowerPoint and copy the VBA code
- Open PowerPoint and press ALT + F11 to open the VBA editor.
- Go to Insert > Module to create a new module.
- Copy and paste the code into the module.
Step 3: Create and refine the PowerPoint Presentation
- Press F5 to run the code and create the presentation.
- Check the content and make changes as needed.
Of course, we will need to add images and media. If needed, you can ask ChatGPT for more information and repeat this process to generate a new VBA code.
3. Use ChatGPT AIPRM Extension to create a PowerPoint
This is one of the easiest methods to simplify your PowerPoint creation process. There's no need for any ChatGPT prompts. But first, let's answer this question:
What is AIRPRM?
AIPRM is an extension designed to enhance ChatGPT's capabilities for creating and refining content, including PowerPoint presentations.
This AI tool provides pre-made ChatGPT prompt templates to streamline your PowerPoint creation process. With AIPRM, users get automated suggestions, better formatting, and tailored content within the ChatGPT interface.
Using AIPRM Extension for PowerPoint
- Step 1: Open your browser and search for "AIPRM ChatGPT prompts." You can use this link .
- Step 2: Download and install the AIPRM extension.
- Step 3: Log in to your ChatGPT account.
Once the extension is installed, your ChatGPT interface will have new options and templates. Here’s an example:
- Step 4: Type “PowerPoint” in the search bar. This will give you a list of AIRPRM ChatGPT prompts for PowerPoint.
- Step 5: Select a prompt and click on it. It will appear in the chat bar.
- Step 6: Follow the format. Add the presentation topic and VBA instruction. In this prompt, the format is as follows: PowerPoint, Slides, VBA.
For this example, I will use Digital Marketing, 10, VBA.
- Step 7: Hit Enter. ChatGPT will generate a VBA code as in the previous method (#2).
After ChatGPT generates the VBA codes, paste the code into the Visual Basic Editor in PowerPoint. Next, run the code to generate the slides. To do this, follow the steps in the previous method (#2).
Here’s a summary:
- Open PowerPoint.
- Press Alt + F11 to open the VBA editor.
- Insert a new module by clicking Insert > Module.
- Press F5 to run the macro and create the presentation.
Step 1. Choose Your AI Presentation Tool:
- Research and choose the best AI presentation tool for your needs. Our last article, “ 10 Best AI Tools for Creating Impactful Presentations ,” can help you.
For this example, I will use Gamma. In our review, this AI maker scored 4.5/5 for ease of use. Additionally, it offers a free plan. Use this link to sign up.
Step 2. Ask ChatGPT for a Presentation Outline
- First, you need a strong prompt. To ensure accuracy, I’ll reuse the prompt from method #1
- Once you have the outline, you can refine and expand the content for each slide. The aim is to help ChatGPT generate the best results.
Use a ChatGPT prompt like this to improve the initial output:
"Please expand the information for each slide. Include interesting facts to enhance engagement and provide more value."
Step 4. Copy and paste the ChatGPT output into the AI tool
Since we're using Gamma for this example, here's what we'll do:
- In Gamma, choose “ Paste in text .” You already have the outline from ChatGPT.
- Copy and paste the ChatGPT prompt and click “ Continue .”
- Set the number of “ Cards ” to match your slides.
- Click “ Continue ”.
Step 5. Generate and Refine Your PowerPoint Presentation
- Select your favorite theme and click “ Generate .”
- Wait a moment while Gamma AI generates the presentation.
- Review the slides and refine the content.
You have a strong starting point. Enhance the visual appeal by adding media, adjusting the layout, and refining the content.
- Use Specific Prompts: The more detailed your prompt, the better the result will be. You should clearly mention the topic, audience, objective, and the number of slides. This will keep the content relevant.
- Understand ChatGPT’s Capabilities: ChatGPT excels at generating content but doesn't create visuals or handle design elements. Since Chat GPT doesn't have a presentation maker, you'll need to complement its outputs.
- Review the Content: Always review and edit the generated content to ensure it is accurate, coherent, and aligned with your presentation goals. ChatGPT can make mistakes, so check important info.
- Refine Your Output: Even if you're very specific, it's hard to get the perfect content for your presentation on the first try. Feel free to adjust your prompts based on initial outputs. The first outputs often highlight what is needed for the best outcome.
- Integrate ChatGPT into Your Workflow: Refining an existing idea is easier than starting from scratch. Use ChatGPT to generate fresh ideas and create outlines for your presentation. You can tailor your prompts based on your specific experience and needs. Additionally, consider using VBA code to automate repetitive tasks like summarizing information and creating bullet points.
AI tools like ChatGPT are excellent for generating content and speeding up the design process. However, refining prompts to achieve a decent result can be time-consuming. In contrast, 24Slides lets you create a professional, on-brand presentation with just a few clicks.
In our AI vs. professional designer comparison , it's clear that the perfect prompt isn’t enough. You’ll still need many adjustments for a polished result. Most AIs don't fully understand the context of your command or what you really have in mind.
At 24Slides , we believe nothing can replace the human touch in crafting standout presentations. With 10+ years of experience and more than 200 designers worldwide , we are the world’s largest presentation design company.

How To Make a PDF Fillable
August 27, 2024 by Stéphane Turquay
Learn how to create a fillable PDF from scratch or from an existing PDF. Get step-by-step guides using Word, Google Docs, Mac, and free online tools.
Fillable PDFs let people enter information directly into a document, making it easy to collect data and sign contacts in a well-structured way.
In this article, we’ll focus on free tools you can use to make PDFs fillable, including how to make fillable PDFs without Acrobat. We’ll also walk you through different options for filling form fields in a PDF.
You’ll learn how to do it with common software on PCs and Macs, along with browser-based tools like Smallpdf. You’ll also see how to add and ask for e-signatures.
At the end, we’ll drop a few other PDF resources that might come in handy.
Why Create a Fillable PDF?
Fillable PDFs are useful when you need to collect information in a systematic and specifically formatted way. Things like:
- Contracts and Agreements
- Job Applications
- Surveys and Questionnaires
- Event Registrations
With most dedicated form tools, collected information is stored in a database, and not preserved next to the original question or prompt. This isn’t ideal for things like signed contracts, where both parties need a copy of the completed document.
That’s where fillable PDFs come in. In the words of Smallpdf’s Product & Engineering Manager, David Beníček:
“Fillable PDFs are great for both parties, keeping questions and answers together in an easily shareable PDF format.”
Let’s start with how to make a fillable PDF from scratch using different word processing tools.
How To Make a Fillable PDF in Google Docs
You can create a form-to-be-filled in Google Docs, then convert it to a PDF before sharing. Here’s how:
- Open a new Google Doc. (shortcut: in a new Chrome tab type “doc.new”)
- Add the placeholder text for each field you want to add.
- Create an underline or text box for each question or field.
- Add other desired text, formatting, or branding to your doc.
- Save the doc as a PDF.
There are different ways to save a Google Doc as a PDF, but the two simplest are:
- File > Download > PDF Document
- Print > Destination > Save as PDF.
This is an easy way to create a simple PDF with form fields that people can print out, then fill in. Below, we’ll show you alternative ways that someone can complete a fillable PDF form created with Google Docs completely online.
Note that this works best with simple fillable forms and documents. Creating more complex formats and layouts requires a little more time and patience, but it’s a decent free option that works.
How To Make a Fillable PDF in Word
Creating a fillable PDF from scratch with Microsoft Word is nearly the same as with Google Docs. To make a PDF in Word:
- Open a new Word document (DOC or DOCX).
- Save or Print the doc as a PDF.
Fillable PDFs made in Word are easy to share, print out, and fill in. Further below, we’ll show you how to fill in these PDFs online without printing them out.
Like with the Google Docs method, formatting complex documents with multiple text fields requires some patience. But it’s a decent option, especially if you’re already a Microsoft Office user.
Formatting Tips for Fillable PDFs in Word and Google Docs
If you’re creating PDFs from scratch in a word processing program (like Google Docs or Microsoft Word), here's a few tips:
- To create an underline, hold the Shift + ‘-’ (hyphen) keys at the same time.
- To create a text box for longer inputs, add a 1x1 table (Insert > Table > 1x1).
- To create multiple columns, insert a 2x1 table, then remove the border (Table properties > Color > Table border)
- Keep the formatting in your form as simple as possible to make it easier for people to fill out without printing (more on this below).
How To Add Fillable Form Fields to an Existing PDF
The Doc and Word options above are good free ways to start from scratch, but what if you want to add form fields to an existing PDF?
If you need to edit an existing PDF, one of the most user-friendly (and free!) PDF tools is the PDF Editor by Smallpdf. You can try it without even creating an account. Here’s how:
- Go to the online Smallpdf PDF Editor .
- Drag & drop the PDF you want to make fillable.
- In the Annotate tab, Click “Add text box”.
- Click where you want to insert a form field and type your placeholder text.
- Add an underline or box to create empty fields to fill out (see below).
- Repeat as necessary to add all form fields.
- Click “Export” to download or share your PDF.
Here’s a few other things that might help:
- Create an underline by holding Shift + ‘-’ (hyphen).
- Create an empty textbox by inserting a rectangle shape with a thin border.
- Use the duplicate button to quickly duplicate existing form fields you can then edit.
- Add checkboxes to more clearly indicate what needs to be completed.
When you’re done, your PDF will have easy-to-see, fillable form fields for people to complete.
You can also generate a shareable link to send your fillable PDF via email, WhatsApp, social media, or whatever channel you need. Or you can download the PDF for later distribution.
What about privacy and security? Smallpdf uses top-tier TLS encryption, is GDPR and ISO compliant, and all files are deleted from Smallpdf’s servers when you’re done (unless you choose to save them for later access). Together, you can rest assured your documents are secure.
How To Make a PDF Fillable on Mac
Mac users can add fillable form fields to an existing PDF using the built-in Preview app. Here’s how:
- Right-click on your PDF file, then select “Open With” > “Preview.”
- Click the “Show Markup Toolbar” button (it looks like a pencil icon) to display form tools.
- Select the Text tool from the toolbar, then click where you want to add a fillable field and type the placeholder text (e.g. “Name,” “Email”).
- Use the Shape tools to insert lines or boxes for people to fill in.
- Save your PDF document by clicking “File” > “Save”.
Formatting options are limited. You can’t add checkboxes or dropdowns, for example, but you can add a simple signature using your trackpad. It also lacks a direct share option to share your fillable PDF with others.
That said, it’s still a simple and quick way to create basic fillable forms from an existing PDF. And since the tools are built-in to your Mac, you don’t need an internet connection or any software downloads.

How To Fill in PDF Form Fields Without Printing
Do you want to fill in a PDF form without printing it out? Even if a PDF doesn’t have interactive fields, you can still edit the PDF online for free.
One easy way is with the Smallpdf PDF Editor. It lets you fill in PDFs without printing them out. Here’s how:
- Import or drag & drop your file into the free online PDF Editor .
- Go to the “Annotate” tab and click the “Add text box” tool.
- Click to add responses to empty fillable PDF form fields.
- Adjust fonts and sizes as desired.
- Use the “eSign” button to add your eSignature if needed.
- Click “Export” to share or download your completed PDF form.
You can try the PDF editor for free without even signing up. This makes it great for filling in one-off PDF forms. If you choose to create an account, you’ll be able to store your completed PDFs in a secure cloud for later access from any device.
Filling in PDFs using Google Docs or Microsoft Word
With Google Docs and Microsoft Word, you can import an existing PDF into the app for editing.
This method works by first converting a PDF into the native word processing format for editing. Then when you’re finished, you can save the edited document back to a PDF.
The problem with this method is the conversion from PDF to DOC or DOCX does a poor job of preserving the formatting of the original PDF. This means your final document won’t look like the original PDF you need to complete.
It may be a workaround worth trying for very simply formatted fillable PDF forms. Or you can try to first convert your PDF using the Smallpdf PDF Converter .
You’ll get better results with much less effort, however, using the PDF Editor method with Smallpdf mentioned above.

- PDF Association - Standards and best practices for creating PDFs.
- PDF Tools - PDF tools, SDKs for developers, and a deep PDF knowledge base.
