How to Cite a Thesis or Dissertation in APA

In this citation guide, you will learn how to reference and cite an undergraduate thesis, master’s thesis, or doctoral dissertation. This guide will also review the differences between a thesis or dissertation that is published and one that has remained unpublished. The guidelines below come from the 7th edition of the Publication Manual of the American Psychological Association (2020a), pages 333 and 334. Please note that the association is not affiliated with this guide.

Guide Overview

Citing an unpublished thesis or dissertation, citing a published dissertation or thesis from a database, citing a thesis or dissertation published online but not from a database, citing a thesis or dissertation: reference overview, what you need.

Since unpublished theses can usually only be sourced in print form from a university library, the correct citation structure includes the university name where the publisher element usually goes.

Author’s last name, F. M. (Year published). Title in sentence case [Unpublished degree type thesis or dissertation]. Name of institution.

Ames, J. H., & Doughty, L. H. (1911). The proposed plans for the Iowa State College athletic field including the design of a reinforced concrete grandstand and wall [Unpublished bachelor’s thesis]. Iowa State University.

In-text citation example:

  • Parenthetical :  (Ames & Doughty, 1911)
  • Narrative :  Ames & Doughty (1911)

If a thesis or dissertation has been published and is found on a database, then follow the structure below. It’s similar to the format for an unpublished dissertation/thesis, but with a few differences:

  • The institution is presented in brackets after the title
  • The archive or database name is included

Author’s last name, F. M. (Year published). Title in sentence case (Publication or Document No.) [Degree type thesis or dissertation, Name of institution]. Database name.

Knight, K. A. (2011). Media epidemics: Viral structures in literature and new media (Accession No. 2013420395) [Doctoral dissertation, University of California, Santa Barbara]. ProQuest Dissertations Publishing.

Example dissertation-thesis

Trotman, J.B. (2018). New insights into the biochemistry and cell biology of RNA recapping (Document No. osu1523896565730483) [Doctoral dissertation, Ohio State University]. OhioLINK Electronic Theses & Dissertations Center.

In the example given above, the dissertation is presented with a Document Number (Document No.). Sometimes called a database number or publication number, this is the identifier that is used by the database’s indexing system. If the database you are using provides you with such a number, then include it directly after the work’s title in parentheses.

It is important to note that not every thesis or dissertation published online will be associated with a specific archive or collection. If the work is published on a private website, provide only the URL as the source element.

To start things off, let’s take a look at the different types of literature that are classified under Chapter 10.6 of the Publication Manual :

  • Undergraduate thesis
  • Master’s thesis
  • Doctoral dissertation

You will need to know which type you are citing. You’ll also need to know if it is published or unpublished .

When you decide to cite a dissertation or thesis, you’ll need to look for the following information to use in your citation:

  • Author’s last name, and first and middle initials
  • Year published
  • Title of thesis or dissertation
  • If it is unpublished
  • Publication or document number (if applicable; for published work)
  • Degree type (bachelor’s, master’s, doctoral)
  • Thesis or dissertation
  • Name of institution awarding degree
  • DOI (https://doi.org/xxxxx) or URL (if applicable)

Since theses and dissertations are directly linked to educational degrees, it is necessary to list the name of the associated institution; i.e., the college, university, or school that is awarding the associated degree.

To get an idea of the proper form, take a look at the examples below. There are three outlined scenarios:

To cite a published thesis in APA style, it is important that you know some basic information such as the author, publication year, title of the thesis, institute name, archive name, and URL (uniform resource locator). The templates for an in-text citation and reference list entry of a thesis, along with examples, are given below:

In-text citation template and example:

Use the author surname and the publication year in the in-text citation.

The title of the thesis is set in sentence case and italicized. Enclose the thesis and the institute awarding the degree inside brackets following the publication year. Then add the name of the database followed by the URL.

SPRING 2024 CHANGES TO THE DISSERTATION CLEARANCE PROCESS

In order to streamline the dissertation clearance process, the following changes have been made, effective 3-1-2024 .

1. The Dissertation Cataloging Form is no longer necessary.

2. The Dissertation Clearance Form is now initiated directly by the student, and only through Adobe Sign - Signed PDFs and scanned forms have been replaced by Adobe Sign.

3. Students completing dissertation clearance are no longer required to schedule a meeting with their DCR (Dissertation Clearance Representative). If they have questions about what to do, they are welcome to schedule a DCR appointment, but it is not required.

Be concise and clear

  • Avoid vague statements
  • Present information clearly
  • Eliminate unnecessary words

Style matters

  • Write objectively
  • Avoid poetic or flowery language

AVOIDING BIAS

Be sensitive to labels

  • Avoid identifying groups by a disorder Avoid: schizophrenics Allowed: people diagnosed with schizophrenia
  • Avoid outdated or inappropriate labels
  • When you must label a group, try to use a term that group prefers

Gender pronouns

  • Gender refers to a social role
  • Sex refers to biological characteristics

What is the APA 7th Edition Publication Manual?

The 7th edition of Publication Manual of the American Psychological Association was created by the American Psychological Assocation (APA), and contains the complete guidelines on how to format material for publication and cite your research .  It is a set of style rules that codifies the components of scientific writing in order to deliver concise and bias free information to the reader. 

This guide provides some of the basics to keep in mind, but it doesn't replace owning or borrowing the actual Publication Manual itself. It should be on your desk by your side throughout your writing process.

APA style, 7th edition requires specific heading formatting.

For Levels 1-3, the paragraph text begins on a new line. For Levels 4-5, the paragraph text begins on the same line and continues as a paragraph.

In Section 4.2 of the Publication Manual of the American Psychological Association (7th ed.), APA (2020) states that you should use verb tenses consistently throughout your work. See a chart of when and how to use past tense (Rodriguez found) and present perfect tense (Researchers have shown) at the APA Style website .

In-Text Citation Basics

Author/Date Citation Method

APA publications use the author/date in text citation system to briefly identify sources to readers.  Each in-text citation is listed alphabetically in the reference list.  All in-text citations referenced in the body of work musr appear in the reference list and vice versa.

  • The author-date method includes the author's surname and the the publication year.  Do not include suffixes such as Jr., Esq., etc. Example : (Jones, 2009)
  • The author/date method is also used with direct quotes.  Another component is added in this format: (Jones, 2009, p.19)
  • When multiple pages are referenced, use pp. (Jones, 2009, pp.19-21)

Variations of author/date within a sentence Here are some examples of how the author/date citation method are formatted within different parts of a sentence. Please note the author, publication date, and study are entirely fictional.

  • Beginning of a sentence: Jones (2009) completed a study on the effects of dark chocolate on heart disease.
  • Middle of a sentence: In 2009, Jones's study on the effects of dark chocolate and heart disease revealed...
  • End of a sentence: The study revealed that participants who ate dark chocolate bars every day did not develop heart disease (Jones, 2009).

Citing works with more than one author

  • One author: Jones (2009) // (Jones, 2009)
  • Two authors: Ahmed and Jones (2010) // (Ahmed & Jones, 2010)
  • Three or more authors: Tsai et al. (2011) // (Tsai et al., 2011)
  • Group/organization author that can be abbreviated: 1st mention: National Institutes of Health (NIH, 2012) // subsequent mentions: NIH (2012)

A note on Table of Contents: Most APA papers do not require a Table of Contents (TOC). If you are writing a Dissertation or Scholarly Practice Project, you may be asked to include one. Please note: the Publication Manual of the American Psychological Association does not have an official stance on formatting a Table of Contents page .

Your signature page is one of the most important pieces of your final product. It proves that you completed the dissertation!  Below is an example of what your signature page should look like (names blanked out for privacy).

If you have any questions about the signature page or how to get it signed, please contact your program director.

ABSTRACT : An abstract is required for your Dissertation or Scholarly Practice Project and must be included before submitting your final copy to Proquest.  An abstract is a brief, comprehensive overview of your paper. Generally, it should not exceed 250 words.

KEYWORDS : You should also include keywords. Keywords are descriptive terms that encompass the themes of your paper. Think about what terms you used when searching for your topic in the databases. This is what researchers will use to find your paper!

In-text citations are brief references in the running text that direct readers to the reference entry at the end of the paper. You include them every time you quote or paraphrase someone else’s ideas or words to avoid plagiarism .

An APA in-text citation consists of the author’s last name and the year of publication (also known as the author-date system). If you’re citing a specific part of a source, you should also include a locator such as a page number or timestamp. For example: (Smith, 2020, p. 170) .

Parenthetical vs. narrative citation

The in-text citation can take two forms: parenthetical and narrative. Both types are generated automatically when citing a source with Scribbr’s APA Citation Generator.

Multiple authors and corporate authors

The in-text citation changes slightly when a source has multiple authors or an organization as an author. Pay attention to punctuation and the use of the ampersand (&) symbol.

APA references generally include information about the author , publication date , title , and source . Depending on the type of source, you may have to include extra information that helps your reader locate the source.

Reference examples

Citing a source starts with choosing the correct reference format. Use Scribbr’s Citation Example Generator to learn more about the format for the most common source types. Pay close attention to punctuation, capitalization, and italicization.

APA Reference Page (7th edition)

On the first line of the page, write the section label “References” (in bold and centered). On the second line, start listing your references in alphabetical order .

Apply these formatting guidelines to the APA reference page:

  • Double spacing (within and between references)
  • Hanging indent of ½ inch
  • Legible font (e.g. Times New Roman 12 or Arial 11)
  • Page number in the top right header

Which sources to include

On the reference page, you only include sources that you have cited in the text (with an in-text citation ). You should not include references to personal communications that your reader can’t access (e.g. emails, phone conversations or private online material).

When no individual author name is listed, but the source can clearly be attributed to a specific organization—e.g., a press release by a charity, a report by an agency, or a page from a company’s website—use the organization’s name as the author in the reference entry and APA in-text citations .

When no author at all can be determined—e.g. a collaboratively edited wiki or an online article published anonymously—use the title in place of the author. In the in-text citation, put the title in quotation marks if it appears in plain text in the reference list, and in italics if it appears in italics in the reference list. Shorten it if necessary.

When you quote or paraphrase a specific passage from a source, you need to indicate the location of the passage in your APA in-text citation . If there are no page numbers (e.g. when citing a website ) but the text is long, you can instead use section headings, paragraph numbers, or a combination of the two:

(Caulfield, 2019, Linking section, para. 1).

Section headings can be shortened if necessary. Kindle location numbers should not be used in ebook citations , as they are unreliable.

If you are referring to the source as a whole, it’s not necessary to include a page number or other marker.

The abbreviation “ et al. ” (meaning “and others”) is used to shorten APA in-text citations with three or more authors . Here’s how it works:

Only include the first author’s last name, followed by “et al.”, a comma and the year of publication, for example (Taylor et al., 2018).

APA Style usually does not require an access date. You never need to include one when citing journal articles , e-books , or other stable online sources.

However, if you are citing a website or online article that’s designed to change over time, it’s a good idea to include an access date. In this case, write it in the following format at the end of the reference: Retrieved October 19, 2020, from https://www.uva.nl/en/about-the-uva/about-the-university/about-the-university.html

Thesis and dissertation can mean different things depending on where the degree is awarded. Always check the title page, or subsequent pages, to determine exactly what the work is and use the information for your reference. ​

Auckland University of Technology (and other NZ universities)

  • Thesis is either for a doctoral or a master's degree.
  • Dissertation is either for a master's or a bachelor's degree with honours.
  • Exegesis is the written component of a practice-based thesis where the major output is a creative work;  e.g., a film, artwork, novel.

Other parts of the world

  • In North America and some other countries, dissertation is used for a doctoral degree and thesis for a master's degree.

This is a simplified version of image referencing using APA. All taught students are permitted to use this simplified guidance but should not be marked down for using the official APA format. Researchers who are publishing work using APA will need to provide a full copyright attribution, as instructed in the APA manual .

Reference list

Images cited in your work need a full reference in your reference list, except for images created by yourself. For example, reference an image from a website as a website reference.

  • The figure number is in bold. Number your figures based on their order within your assignment.
  • The descriptive title is in title case and in italics .
  • Follow the normal in-text citation rules when referencing multiple authors.
  • If you have created the image yourself (and not adapted it using information found in another source), you do not need a citation under the image (see Example 3).
  • If you are working on an artistic assignment, poster, or presentation, you may be able to reference in a different way. See: Images in posters, presentations, and artistic assignments .

A-Z Reference Examples

In-text citation: Section 6 of the Human Rights Act 1998 allows victims of privacy invasions to bring actions against public authorities.  

  • The Act title is in title case and not in italics.
  • The year is not in brackets as it is part of the title.
  • Do not include a link, even if the Act is found online.
  • It is best practice to use a narrative citation. Avoid putting Acts of Parliament in brackets (see Example 1b).

This guidance is for students who have been given permission by their module leader to use generative AI tools (e.g. ChatGPT, QuillBot, Chimp Rewriter, DALL-E etc.).

A PDF is a file format rather than a source type and there are no specific APA guidelines. Instead, identify the source type, whether a report, journal article, leaflet, etc. and follow the guidance for that source.

Personal communications include emails, interviews, phone calls and unrecorded lectures. Where these have been published (e.g. an interview published in a magazine) follow the referencing guidelines for that type of resource.

Personal communications are only referenced using in-text citations. You do not give an entry in the list of references, as the information has not been published anywhere for you to reference.

When to reference software

You do not need to reference software if it is commonly used in your field (e.g. Microsoft Word or SPSS) unless you have quoted or paraphrased from the software. You also do not need to reference programming languages (e.g. Python or C#). Just state the name of the software or programming language in your assignment. If a piece of software is not in common use, or if you have quoted or paraphrased from it, include a reference.

Console games 

APA 7th edition provides guidance for referencing computer software and mobile apps, but does not cover console games. If you need to reference a video game, particularly if it is available across multiple consoles, you may need to adapt the format below to make it clear which version you have used.

There are several ways to reference a table when using multiple sources:

  • Describe the sources for each section underneath the table when the information can be easily separated (see Example 3a).
  • Include in-text citations within the body of the table itself, following the normal in-text citation rules (see Example 3b).
  • Use specific notes when impractical to include an in-text citation within the body of the table. Specific notes are superscript letters (  a , b ,  c ) to indicate that the information is taken from another source. The superscript letters are then repeated underneath the table, with the corresponding in-text citation (see Example 3c).
  • If different pieces of information are taken from the same source, use the same letter and include only one in-text citation underneath the table (see Example 3c).

Confidential documents are private or commercially sensitive information, such as patient health records or details of a supplier contract, where disclosure of identity is prohibited by law or the owner of the information.

Internal documents contain information relevant to an organisation. These may or may not be confidential.

Talk to your lecturer if you are unsure about confidentiality in your assignment.  It may sometimes be appropriate to add an anonymised extract of the document to an appendix to provide context for the reader.

  • Anonymise part or all of the title where the title will reveal the identity of the organisation.   • If an internal document has no author, use the department as the author and do not repeat this later in the reference.

  • The video title is in sentence case and in italics.
  • For YouTube videos or similar, the name of the uploader/channel will likely be the author (see Example 1).
  • For videos on social media, the author is the profile name followed by the username in [square brackets] (see Example 2).
  • Authors can also be formatted in the way that best helps to identify them e.g. Johnson, D. [The Rock].
  • If the speaker in the video is not the same as the uploader, integrate this into your sentence e.g. Liu discusses how babies perceive danger (TED, 2024).

In-text citations and signal phrases can be woven into sentences and paragraphs in multiple ways, and what you emphasize depends on what information will be most relevant and/or persuasive to your reader. However, the following information should always be included:

APA Citation Resources

Remember, the citations that can be exported from CINAHL (or any library database) may not be correct or up to date per the current APA Citation Style.   The following sources may be helpful!

At some point, you may want to use a citation manager.  EndNote is free via SLU!

  • EndNote is a citation management software that can make it easier to keep track of your research and to create properly formatted citations and bibliographies for your research projects.
  • Save references and PDFs from databases
  • Cite articles in the body of your paper in APA format
  • Create your APA formatted reference list at the end of your paper
  • Don't save EN libraries to cloud services or network drives--the EN Library may become corrupted.  Save to a local hard drive or jump drive.
  • There are 2 parts to an EN library: .enl file and .Data folder--both must be kept together!
  • Do not use EndNote to access and search databases.
  • Be careful:  EN X9,20, and 21 are not fully compatible!

Update APA 7th to Full Journal Names

EndNote abbreviates journal names--APA 7th edition requires the full name.  To tell Endnote 21 to use the full names:

  • Open Tools (from EN menu bar)
  • Output Styles
  • Edit APA 7th
  • Select Journal Names
  • Click on button for "Use Full Journal Name"

Then simply close!  You will be asked if you want to save to APA 7th or to a new file.  Stick with APA 7th!

However, if you are writing a dissertation or thesis , your advisor or institution may specify different margins (e.g., a 1.5-inch left margin to accommodate binding).
