About the presentation: "Data Practices to Improve Juvenile Justice: Promising Horizons and Practical Considerations".

Data is essential for understanding and improving the juvenile justice system, but efforts to improve data collection practices often encounter practical challenges. This panel will examine how changes to collecting and reporting juvenile justice data can affect system functioning and assessments as well as outcomes for youth. Panelists will explore barriers and strategies for new data collection activities and reporting. They will highlight: (1) a study that developed and piloted a brief intake risk-screening tool in six rural counties, (2) a study that worked with juvenile justice agencies in three states to improve service use data entry procedures to assess how supervision or service strategies reduce reoffending, and (3) practitioner experiences partnering with research teams to implement changes in their jurisdictions.

So, let me start by thanking my most incredible husband, Doug. For being an incredible partner to me, an incredible father to Cole and Ella, and happy anniversary, Dougie. I love you so very much.

Using direct questions throughout your presentation ensures the audience stays alert, as they might be called upon to share their views. For example, after covering a key point, you might engage your audience with, “Does anyone have an experience to share related to this?”

2. Utilizing Pacing and Pauses

Mastering the pace of your speech helps keep your presentation lively. Quickening the pace when discussing exciting developments or slowing down when explaining complex ideas can help maintain interest. For example, when introducing a new concept, slow your pace to allow the audience to absorb the information.

Pauses are equally powerful. A well-timed pause after a key point gives the audience a moment to ponder the significance of what you’ve just said. How to Give a Presentation

Giving a presentation terrifies most of us, especially when talking before a crowd of people about an unfamiliar topic. Never fear! There are ways to make a good presentation. The more presentations you do, the easier they will become!

Preparing For the Presentation

Step 1 Focus your presentation.

  • It's best to have 1 main thesis statement or overarching theme and 3 main points that back-up or flesh-out your main theme. Any more than that and your audience is going to start losing interest. This means that any facts and information that are a part of your presentation should back up these 3 main points and overarching theme.
  • For example: If you're giving a presentation about 17th century alchemy, bringing up the history of alchemy is fine (and probably necessary), but don't mire your audience in its history instead of focusing alchemy in the 17th century. Your 3 points could be something like "alchemy in public opinion," "famous 17th century alchemists," and "the legacy of 17th century alchemy."

Step 2 Less is more.

  • Pick your very best supporting facts, information, or quotes for your presentation. Don't bury your audience in information.

Step 3 Decide whether to use media or not.

  • Make sure you're using media to enhance your presentation and not to drown it out. The presentation is key. Anything else is just accessorizing.
  • For example: to get back to 17th century alchemy, to back up your information about alchemy in the public opinion, you might want to show images from public pamphlets about the dangers of alchemy and see what people of the time period had to say about it and see what the more famous alchemists had to say about it.
  • Also, you want to make sure that you pick a medium that you are comfortable in and thorough in knowledge. If you don't know a thing about PowerPoint, maybe consider writing your main points on a white board, or passing out handouts with your main points and evidence on them. [3] X Research source

Step 4 Practice.

  • A good tip is to film yourself or audiotape of yourself giving your practice presentation so you can see what distracting verbal and physical tics you have, so that you can work on eliminating them before the presentation itself. (Verbs tics would be things like "um..." and "uh..." and using "like" inappropriately; physical tics are things like shifting your weight from foot to foot or messing with your hair.) To stop yourself from saying "um" or other unwanted tics, be aware you're doing it first, then speak more slowly and deliberately. Breathe deeply and feel free to pause and appreciate the silence. These will all help you to have mastery over your tics.
  • Just remember that rehearsals usually run about 20% shorter than your actual presentation, so take that into account if you're running on a time limit.

Step 5 Visualize success.

  • For example, if you aren't comfortable wearing heels, don't wear them just for the presentation. You'll be distracted by your discomfort and that will come across in the presentation. There are plenty of good shoe choices that have no or a low heel.
  • Clean, nice slacks or a skirt and nice, button-down shirt in neutral colors are always good choices for presentation wear. You also don't particularly want your clothing choice to distract from the presentation, so perhaps avoid that brilliant hot pink shirt.

Giving the Presentation

Step 1 Deal with the jitters.

  • Before the presentation, clench and unclench your hands several times to deal with the adrenaline and then take 3 deep, slow breaths.
  • Call up a smile, even if you feel like hurling. You can trick your brain into thinking that you're less anxious than you actually are and you'll also be able to hide your nervousness from your audience.

Step 2 Engage the audience.

  • Make eye contact with your audience. Don't stare at one particular person, but section up the room and make eye contact with someone in each section on a rotational basis.
  • Have a big, welcoming smile on your face, with lots of energy, so you start out from a strong and engaging place.
  • Ask questions of your audience and take questions during your presentation. This will make it more of a conversation and therefore more interesting.
  • Tell an amusing anecdote to illustrate your point. From the above examples about 17th century alchemy, you could find an amusing alchemical anecdote from the time period, or you could talk about your own forays into alchemy.

Step 3 Give an engaging performance.

  • Move around, but make your movements deliberate. Don't nervously shift your feet (in fact, it's a good idea to imagine that your feet are nailed to the floor except for those times you deliberately choose to move).
  • Use your vocal inflections to create a more dynamic presentation. Vary your voice as you're talking. Nobody ( ever ) wants to sit there and listen to someone drone on and on in dull monotone, no matter how interesting the material (think Professor Binns from Harry Potter; that's what you don't want).
  • Try to create a balance between rehearsed and spontaneous. Spontaneous, on the spot, movement and asides can be great as long as you are really comfortable, otherwise they can sidetrack your presentation and make it rambling. Mess around with spontaneous and rehearsed when you're practicing and you'll get a feel for it.

Step 4 Treat your presentation as a story.

  • Quickly introduce your topic and don't assume that your audience is familiar with all the terms, especially if your topic is one that isn't widely known.
  • Figuring out why you want (or have to) give this presentation will help you work with an overarching story/theme. Maybe you want to pass the class. Maybe you're convincing people to give you money or join you in a philanthropic endeavor or act for a social or political reason. Channel that desire into your presentation. You're answering the question of why they would want to pass you or why they would want to fund you. That's the story you're telling.

Step 5 Talk more slowly.

  • Make use of pauses, and learn to be comfortable with silences. Silence can be a powerful presentation tool and gives you a chance to take a moment to recompose. By taking pauses, you can slow down your breathing and be more deliberate in your speech, avoiding speaking too quickly.
  • Have water with you and take a sip when you feel you're going too fast.
  • If you have a friend in the class or meeting, arrange with them beforehand that they will let you know with a signal whether you're talking too quickly. Look over their way occasionally and check your progress.
  • If you find that you're running out of time and you haven't finished, simply drop or summarize your leftover material. Acknowledge the leftover material as something that can be discussed later or in the Q&A.

Step 6 Have a killer closing.

  • Make it clear what the listeners now know and why it is important that they have this new information.
  • Conclude with examples or stories about your main point and take home message. You might want a slide which summarizes your presentation. For example, you might conclude with a story about the nature of alchemy in the modern era (perhaps in a film) to show its malleable nature.

Running a successful stakeholder presentation can be challenging even for the most experienced product managers. After weeks or even months of working with your team, ensuring you have all the latest designs and data before making your first presentation can be nerve-wracking.

Five tips on presenting a project to stakeholders.

Read the room..

In its simplest terms, know whom you’re talking to. Running a presentation for the executive management team will differ from how you run a presentation with marketing. Their goals and desired outcomes will be different. Your management presentation might focus more on conversion rates and customer retention, while your marketing presentation might focus more on copy and visuals.

Remember to "read the room" before presenting. I think knowing the goals of each stakeholder group should be important to the presentation you give.

Focus on the six C's of communication.

Communication plays a huge role in running an effective stakeholder presentation. It doesn't matter whether you're presenting a project outline or design options; how you communicate with your stakeholders can massively impact their feelings on a topic. To ensure optimal stakeholder understanding, follow the six C's of communication:

  • Clear - Use simple wording, avoid too many choices, and incorporate tools that make giving focused feedback easy.
  • Concise - Get to the point. Create a presentation (visual or text-based) and then cut the content by 30-50%. Your mileage here may vary.
  • Correct - Be accurate and true in the information you present.
  • Contextual - Think about your audience and make your presentation relatable.
  • Concrete - Solidify your presentation using data, insights, studies, and stories when appropriate.
  • Caring - Be mindful of any time limitations your stakeholder might face.

Whether you give a presentation to hundreds of stakeholders or send updated product designs to a single team member, the six Cs can help you communicate effectively and get better feedback.

Have a TL; DR.

Stakeholders are often time-poor. In addition to their contribution to your project, they have other business activities to attend to. For this reason, product managers may create a TL; DR slide in their presentations. This slide summarizes what the stakeholders can expect to take away from the presentation.

Adding the 10-20-30 Rule to Your Stakeholder Presentation

One effective technique for engaging stakeholders during your presentation is the "10-20-30 Rule" by entrepreneur Guy Kawasaki. This simple guideline states that your presentation should:

  • Be limited to 10 slides
  • Last no longer than 20 minutes
  • Keep the font size to at least 30 points

Adhering to this rule ensures that your presentation remains clear, concise, and easy for stakeholders to follow. It also helps you to avoid overwhelming them with too much information or small, hard-to-read text.

#1 - Tabular 

Among various types of data presentation, tabular is the most fundamental method, with data presented in rows and columns. Excel or Google Sheets would qualify for the job. Nothing fancy.

This is an example of a tabular presentation of data on Google Sheets. Each row and column has an attribute (year, region, revenue, etc.), and you can do a custom format to see the change in revenue throughout the year.

When presenting data as text, all you do is write your findings down in paragraphs and bullet points, and that’s it. A piece of cake to you, a tough nut to crack for whoever has to go through all of the reading to get to the point.

#3 - Pie chart

A pie chart (or a ‘donut chart’ if you stick a hole in the middle of it) is a circle divided into slices that show the relative sizes of data within a whole. If you’re using it to show percentages, make sure all the slices add up to 100%.

#4 - Bar chart

The bar chart is a chart that presents a bunch of items from the same category, usually in the form of rectangular bars that are placed at an equal distance from each other. Their heights or lengths depict the values they represent.

#5 - Histogram

Similar in appearance to the bar chart but the rectangular bars in histograms don’t often have the gap like their counterparts.

Instead of measuring categories like weather preferences or favourite films as a bar chart does, a histogram only measures things that can be put into numbers.

#6 - Line graph

Recordings to ways of displaying data, we shouldn't overlook the effectiveness of line graphs. Line graphs are represented by a group of data points joined together by a straight line. There can be one or more lines to compare how several related things change over time.

On a line chart’s horizontal axis, you usually have text labels, dates or years, while the vertical axis usually represents the quantity (e.g.: budget, temperature or percentage).

#7 - Pictogram graph

A pictogram graph uses pictures or icons relating to the main topic to visualise a small dataset. The fun combination of colours and illustrations makes it a frequent use at schools.

Pictograms are a breath of fresh air if you want to stay away from the monotonous line chart or bar chart for a while. However, they can present a very limited amount of data and sometimes they are only there for displays and do not represent real statistics.

#8 - Radar chart

If presenting five or more variables in the form of a bar chart is too stuffy then you should try using a radar chart, which is one of the most creative ways to present data.

Radar charts show data in terms of how they compare to each other starting from the same point. Some also call them ‘spider charts’ because each aspect combined looks like a spider web.

#9 - Heat map

A heat map represents data density in colours. The bigger the number, the more colour intensity that data will be represented.

Most US citizens would be familiar with this data presentation method in geography. For elections, many news outlets assign a specific colour code to a state, with blue representing one candidate and red representing the other. The shade of either blue or red in each state shows the strength of the overall vote in that state.

Another great thing you can use a heat map for is to map what visitors to your site click on. The more a particular section is clicked the ‘hotter’ the colour will turn, from blue to bright yellow to red.

#10 - Scatter plot

If you present your data in dots instead of chunky bars, you’ll have a scatter plot. 

A scatter plot is a grid with several inputs showing the relationship between two variables. It’s good at collecting seemingly random data and revealing some telling trends.

For example, in this graph, each dot shows the average daily temperature versus the number of beach visitors across several days. You can see that the dots get higher as the temperature increases, so it’s likely that hotter weather leads to more visitors.

5 Data Presentation Mistakes to Avoid

#1 - assume your audience understands what the numbers represent.

You may know all the behind-the-scenes of your data since you’ve worked with them for weeks, but your audience doesn’t.

Showing without telling only invites more and more questions from your audience, as they have to constantly make sense of your data, wasting the time of both sides as a result.

While showing your data presentations, you should tell them what the data are about before hitting them with waves of numbers first. You can use interactive activities such as polls , word clouds , online quizzes and Q&A sections , combined with icebreaker games , to assess their understanding of the data and address any confusion beforehand.

#2 - Use the wrong type of chart

Charts such as pie charts must have a total of 100% so if your numbers accumulate to 193% like this example below, you’re definitely doing it wrong.

Before making a chart, ask yourself: what do I want to accomplish with my data? Do you want to see the relationship between the data sets, show the up and down trends of your data, or see how segments of one thing make up a whole?

Remember, clarity always comes first. Some data visualisations may look cool, but if they don’t fit your data, steer clear of them. 

#3 - Make it 3D

3D is a fascinating graphical presentation example. The third dimension is cool, but full of risks.

Can you see what’s behind those red bars? Because we can’t either. You may think that 3D charts add more depth to the design, but they can create false perceptions as our eyes see 3D objects closer and bigger than they appear, not to mention they cannot be seen from multiple angles.

The goal of data presentation is to make complex topics much easier to understand, and if you’re bringing too much information to the table, you’re missing the point.

If you want to make your data understandable and give your audience a chance to remember it, keep the information within it to an absolute minimum. You should end your session with open-ended questions to see what your participants really think.

The ability to deliver oral case presentations is a core skill for any physician. Effective oral case presentations help facilitate information transfer among physicians and are essential to delivering quality patient care. Oral case presentations are also a key component of how medical students and residents are assessed during their training.

At its core, an oral case presentation functions as an argument. It is the presenter’s job to share the pertinent facts of a patient’s case with the other members of the medical care team and establish a clear diagnosis and treatment plan. Thus, the presenter should include details to support the proposed diagnosis, argue against alternative diagnoses, and exclude extraneous information. While this task may seem daunting at first, with practice, it will become easier. That said, if you are unsure if a particular detail is important to your patient’s case, it is probably best to be safe and include it.

Now, let’s go over how to present a case. While I will focus on internal medicine inpatients, the following framework can be applied to patients in any setting with slight modifications.

Oral case presentations are generally made to a medical care team, which can be composed of medical and pharmacy students, residents, pharmacists, medical attendings, and others. As the presenter, you should strive to deliver an interesting presentation that keeps your team members engaged. Here are a few things to keep in mind:

  • Be confident: Speak clearly at the loudest volume appropriate to protect patient privacy, vary your tone to emphasize the most important details, and maintain eye contact with members of your team.
  • Don’t fidget : Stand up straight and avoid unnecessary, distracting movements.
  • Use your notes : You may glance at your notes from time to time while presenting. However, while there is no need to memorize your presentation, there is no better way to lose your team’s attention than to read your notes to them.
  • Be honest: Given the importance of presentations in guiding medical care, never guess or report false information to the team. If you are unsure about a particular detail, say so.

The length of your presentation will depend on various factors, including the complexity of your patient, your audience, and your specialty. I have found that new internal medicine inpatients generally take 5-10 minutes to present. Internal medicine clerkship directors seem to agree. In a 2009 survey , they reported a range of 2-20 minutes for the ideal length of student inpatient presentations, with a median of 7 minutes.

While delivering oral case presentations is a core skill for trainees, and there have been attempts to standardize the format , expectations still vary among attending physicians. This can be a frustrating experience for trainees, and I would recommend that you clarify your attending’s expectations at the beginning of each new rotation. However, I have found that these differences are often stylistic, and content expectations are generally quite similar. Thus, developing a familiarity with the core elements of a strong oral case presentation is essential.

How to Present a Patient

You should begin every oral presentation with a brief one-liner that contains the patient’s name, age, relevant past medical history, and chief complaint. Remember that the chief complaint is why the patient sought medical care in his or her own words. An example of an effective opening is as follows: “Ms. X is a 78-year-old female with a past medical history of chronic obstructive pulmonary disease who presents to the hospital after she felt short of breath at home.”

Following the opener, elaborate on why the patient sought medical care. Describe the events that preceded the patient’s presentation in chronological order. A useful mnemonic to use when deciding what to report is OPQRST , which includes: • The Onset of the patient’s symptoms • Any Palliative or Provoking factors that make the symptoms better or worse, respectively • The Quality of his or her symptoms (how he or she describes them) • The Region of the body where the patient is experiencing his or her symptoms and (if the symptom is pain) whether the patient’s pain Radiates to another location or is well-localized • The Severity of the symptoms and any other associated Symptoms • The Time course of the symptoms (how they have changed over time and whether the patient has experienced them before) Additionally, include any other details here that may support your final diagnosis or rule out alternative diagnoses. For example, if you are concerned about a pulmonary embolism and your patient recently completed a long-distance flight, that would be worth mentioning.

The review of systems is sometimes included in the history of present illness, but it may also be separated. Given the potential breadth of the review of systems (a comprehensive list of questions that may be asked can be found here ), when presenting, only report information that is relevant to your patient’s condition.

The past medical history comes next. This should include the following information: • The patient’s medical conditions, including any that were not highlighted in the opener • Any past surgeries the patient has had and when they were performed • The timing of and reasons for past hospitalizations • Any current medications, including dosages and frequency of administration

The next section should detail the patient’s relevant family history. This should include: • Any relevant conditions that run in the patient’s family, with an emphasis on first-degree relatives

After the family history comes the social history. This section should include information about the patient’s: • Living situation • Occupation • Alcohol and tobacco use • Other substance use You may also include relevant details about the patient’s education level, recent travel history, history of animal and occupational exposures, and religious beliefs. For example, it would be worth mentioning that your anemic patient is a Jehovah’s Witness to guide medical decisions regarding blood transfusions.

Once you have finished reporting the patient’s history, you should transition to the physical exam. You should begin by reporting the patient’s vital signs, which includes the patient’s: • Temperature • Heart rate • Blood pressure • Respiratory rate • Oxygen saturation (if the patient is using supplemental oxygen, this should also be reported) Next, you should discuss the findings of your physical exam. At the minimum, this should include: • Your general impressions of the patient, including whether he or she appears “sick” or not • The results of your: • Head and neck exam • Eye exam • Respiratory exam • Cardiac exam • Abdominal exam • Extremity exam • Neurological exam Additional relevant physical examination findings may be included, as well. Quick note: resist the urge to report an exam as being “normal.” Instead, report your findings. For example, for a normal abdominal exam, you could report that “the patient’s abdomen is soft, non-tender, and non-distended, with normoactive bowel sounds.”

This section includes the results of any relevant laboratory testing, imaging, or other diagnostics that were obtained. You do not have to report the results of every test that was ordered. Before presenting, consider which results will further support your proposed diagnosis and exclude alternatives.

The emergency department (ED) course is classically reported towards the end of the presentation. However, different attendings may prefer to hear the ED course earlier, usually following the history of present illness. When unsure, report the ED course after the results of diagnostic testing. Be sure to include initial ED vital signs and any administered treatments.

You should conclude your presentation with the assessment and plan. This is the most important part of your presentation and allows you to show your team how much you really know. You should include: • A brief summary (1-2 lines) of the patient, the reason for admission, and your likely diagnosis. This should also include information regarding the patient’s clinical stability. While it can be similar to your opener, it should not be identical. An example could be: “Ms. X is a 78-year-old female with a past medical history of chronic obstructive pulmonary disease who presents with shortness of breath in the setting of an upper respiratory tract infection who is now stable on two liters of supplemental oxygen delivered via nasal cannula. Her symptoms are thought to be secondary to an acute exacerbation of chronic obstructive pulmonary disease.” • A differential diagnosis . For students, this should consist of 3-5 potential diagnoses. You should explain why you think each diagnosis is or is not the final diagnosis. Be sure to rule out potentially life-threatening conditions (unless you think your patient has one). For our fictional patient, Ms. X, for example, you could explain why you think she does not have a pulmonary embolism or acute coronary syndrome. For more advanced trainees, the differential can be more limited in scope. • Your plan . On regular inpatient floors, this should include a list of the patient’s medical problems, ordered by acuity, followed by your proposed plan for each. After going through each active medical problem, be sure to mention your choice for the patient’s diet and deep vein thrombosis prophylaxis, the patient’s stated code status, and the patient’s disposition (whether you think they need to remain in the hospital). In intensive care units, you can organize the patient’s medical problems by organ system to ensure that no stone is left unturned (if there are no active issues for an organ system, you may say so).

Presenting Patients Who Have Been in the Hospital for Multiple Days

After the initial presentation, subsequent presentations can be delivered via SOAP note format as follows:

  • The  Subjective  section includes details about any significant overnight events and any new complaints the patient has.
  • In the  Objective  section, report your physical exam (focus on any changes since you last examined the patient) and any significant new laboratory, imaging, or other diagnostic results.
  • The  Assessment  and  Plan  are typically delivered as above. For the initial patient complaint, you do not have to restate your differential diagnosis if the diagnosis is known. For new complaints, however, you should create another differential and argue for or against each diagnosis. Be sure to update your plan every day.

Presenting Patients in Different Specialties

Before you present a patient, consider your audience. Every specialty presents patients differently. In general, surgical and OB/GYN presentations tend to be much quicker (2-3 minutes), while pediatric and family medicine presentations tend to be similar in length to internal medicine presentations. Tailor your presentations accordingly.

Presenting Patients in Outpatient Settings

Outpatients may be presented similarly to inpatients. Your presentation’s focus, however, should align with your outpatient clinic’s specialty. For example, if you are working at a cardiology clinic, your presentation should be focused on your patient’s cardiac complaints.

If your patient is returning for a follow-up visit and does not have a stated chief complaint, you should say so. You may replace the history of present illness with any relevant interval history since his or her last visit.

And that’s it! Delivering oral case presentations is challenging at first, so remember to practice. In time, you will become proficient in this essential medical skill. Good luck!

Learning how to give a good presentation can dismantle your fears and break down these barriers, ensuring you’re ready to confidently share your point of view. 

It’s the week before your presentation, and you’re already feeling nervous . Maybe there’ll be an important mentor in the room you need to impress, or you’re looking for an opportunity to show your boss your value. Regardless of your countless past presentations, you still feel nervous. 

Sharing your vision and ideas with any sized group is intimidating. You’re likely worrying about how you’ll perform as a presenter and whether the audience will be interested in what you offer. But nerves aren’t inherently negative — you can actually use this feeling to fuel your preparation.

It’s helpful to identify where your worries are coming from and address your fears. Here are some common concerns when preparing for an upcoming presentation:

Fear of public speaking: When you share your ideas in front of a group, you’re placing yourself in a vulnerable position to be critiqued on your knowledge and communication skills . Maybe you feel confident in your content, but when you think about standing in front of an audience, you feel anxious and your mind goes blank.

It’s also not uncommon to have physical symptoms when presenting . Some people experience nausea and dizziness as the brain releases adrenaline to cope with the potentially stressful situation . Remember to take deep breaths to recenter yourself and be patient, even if you make a mistake.

Losing the audience’s attention: As a presenter, your main focus is to keep your audience engaged. They should feel like they’re learning valuable information or following a story that will improve them in life or business.

Highlight the most exciting pieces of knowledge and ensure you emphasize those points in your presentation. If you feel passionate about your content, it’s more likely that your audience will experience this excitement for themselves and become invested in what you have to say.

Not knowing what content to place on presentation slides: Overloading presentation slides is a fast way to lose your audience’s attention. Your slides should contain only the main talking points and limited text to ensure your audience focuses on what you have to say rather than becoming distracted by the content on your slides.

Discomfort incorporating nonverbal communication: It’s natural to feel stiff and frozen when you’re nervous. But maintaining effective body language helps your audience stay focused on you as you speak and encourages you to relax.

If you struggle to incorporate body language into your presentations, try starting small by making hand gestures toward your slides. If you’re working with a large audience, use different parts of the stage to ensure everyone feels included. 

Each presenter has their own personal brand and style. Some may use humor to break the ice, while others might appeal to the audience’s emotional side through inspiring storytelling.

Once you’ve addressed what’s causing your fears, it’s time to prepare for a great presentation. Use your past experience as inspiration and aim to outshine your former self by learning from your mistakes and employing new techniques. Here are five presentation tips to help you create a strong presentation and wow your audience:

1. Keep it simple

Simple means something different to everyone.

Before creating your presentation, take note of your intended audience and their knowledge level of your subject. You’ll want your content to be easy for your intended audience to follow.

Say you’re giving a presentation on improving your company’s operational structure. Entry-level workers will likely need a more straightforward overview of the content than C-suite leaders, who have significantly more experience. 

Ask yourself what you want your audience to take away from your presentation and emphasize those important points. Doing this ensures they remember the most vital information rather than less important supporting ideas. Try organizing these concepts into bullet points so viewers can quickly identify critical takeaways.

2. Create a compelling structure

Put yourself in your audience member’s shoes and determine the most compelling way to organize your information. Your presentation should be articulate , cohesive, and logical, and you must be sure to include all necessary supporting evidence to strengthen your main points.

How to Write a Project Proposal and Present it to Stakeholders

Every manager or executive has at some point of their career the need to create a project proposal (or initiative, we will use both terms instinctively in this post). In this opportunity we will briefly define the concept, how to write it and more importantly how to present it to an audience. Persuasion is key. Being able to transmit the right message behind the proposal will help you engage your audience with your ideas.

What Is a Project Proposal?

A project proposal is a document that details a new project idea. Its main objective is to communicate the idea, and what is needed to make it happen. In its most basic form, it contains a title, initial and end dates, objectives, goals and the overall main achievement pursued at completion of the project.

Formal project proposals have clear sections that have been proven to effectively communicate a project idea. The basics include context about the problem or pain trying to solve, a high level action plan, and the required resources to execute it. We’ll give you more detail into how to write project proposal categories later on in this article.

Note that a business project proposal is not the same thing as a complete project plan , in terms of project management . The project proposal includes a lot of details in many of the same categories as a project charter or a complete project plan. However, it is not the same document. The project proposal is not a detailed execution plan. There are lots of details that may change between the proposal presentation and the final, approved project plan.

Types of Project Proposals

There are many different kinds of project proposals, since there are many different kinds of projects. For the sake of keeping the article with a reasonable length, we will exemplify Business Project Proposals.

Business project proposals range from formal to informal and vary greatly depending on the industry and company where they are defined. This article focuses on business project proposals, though a lot of the basics and recommendations also apply to different categories.

Situations that Require to Write a Business Project Proposal

Projects intake vary depending on the management frameworks applied by every organization. But there are common management practices that trigger the need for project proposals.

The most common place for project definitions and ideation is during Corporate Planning. Independently of the size of the organization, planning is a practice that every professional organization carries out. Could be defined as Corporate Planning, or just Growth planning, but the time of the year where executives prepare their forecast and plan for the future is the main event where initiatives are defined. In order to evaluate them objectively, project proposals are created. Based on the proposals, the executives decide which projects they will sponsor. With this in mind, it is important that the document is formal, informative, but also persuasive.

How to Write a Project Proposal

The following paragraphs describe the common sections of a professional project proposal document. Keep in mind that this guide does not pretend to be exhaustive and is understood that you’ll need to evaluate adjustments to this outline in order to make it work for your industry, field, and department.

Step One: Define the Purpose around a Problem or Pain

No executive team will approve or fund a project if it’s not solving a realistic problem, situation. While it may sound negative, in business a lot of decisions are made around addressing pains, both organizational and client-facing. This step aims to show stakeholders why your project is important and what are the stakes if they don’t approve it.

Since your problem statement is the very first section of your project proposal, it has to be strong. If you don’t make your audience start believing in the need for a new initiative at this point, it will be very hard to change their minds later on. Don’t exaggerate the problem, since that is easy to discover later on, but be emphatic about why this is a problem that needs fixing. Backup your claims with facts, figures, and business cases. The cost of “ not doing ” is also a strong argument.

Step Two: Introduce The Solution

Now that you’ve hopefully convinced your audience of the existence of a problem, you now have to introduce the proposed solution. The next several steps will help you specify some of the more tangible components of the “how”. On this step, however, you’re still at the dazzling and inspiring stage.

That means your introduction to the plan should focus on its benefits.

How is this going to address the problem and what is your organization going to get out of it? Think increased profits, lowered costs, new products on the market, more satisfied clients, increased brand awareness, etc.

What is the anticipated impact of your project or idea? Focus on wide-ranging effects for a more impressive presentation.

Step Three: Specify Deliverables and Success Criteria

Deliverables are the results of your project. Think about it as the components, both tangible and intangible, that you’ll be delivering. Include the functions and characteristics of each deliverable, such as what it will do, how it will work, and what benefit it will have. Include details such as due date and key tasks required to successfully carry out each deliverable.

Alongside the definition of deliverables are the success criteria. It’s important to specify how you’ll know if each deliverable has been successfully created, as well as the project as a whole. Whenever you’re presenting objectives or criteria for evaluating success, use the SMART goals approach. SMART stands for specific, measurable, achievable, realistic, and time-bound. You can try using a roadmap template to visualize these deliverables and delivery dates.

Step Four: Outline Project Resources

In order to execute a project, you will require resources. Generally in a project proposal you will divide this definition in two. First, an overall estimation of resources in a common language , financial . So you will translate every resource into budgeting terms and define an investment number. Then, you will break down these financials into: assets (i.e.: technology, infrastructure), human resources, services (i.e.: advertisement, consultancy).

Step Five: Outline your Schedule

In this section you will combine deliverables and resources to generate a high level roadmap. Main points to highlight are start and end of the project, delivery dates and resources usage times. In this way you will materialize the proposal in high level activities.

Step Six: Executive Summary

Once the detailed version of your project proposal is complete, it’s time to summarize the presentation into an executive summary. This summary will include a high-level list of each key element of your proposal. The idea of the executive summary is to be able to summarize in one page all the proposal, in a way an executive can grasp the overall scope.

How to Present a Project Proposal to Stakeholders

Your project presentation will follow the basic steps detailed above. Here is a project proposal example structure using project proposal templates to help you get started on your presentation.

Slide 1: Cover Slide with Project Name

Like in all presentations, you don’t dive into the main part of the presentation without introducing the name of the project and yourself as presenter. Covers slides provide some visual stationary previous the presentation kick off. As a recommendation, set a project name that will make it memorable.

Slide 2: Table of Contents

Audience members will have an easier time paying attention if they know what to expect from your proposal presentation. See the following slide for a common project proposal table of contents format. When presenting it, do not dive into details. The agenda slide is aimed to set a mental state in the audience on the structure of the information will follow. It is a presentation best practice to prepare the audience.

Slide 3: The Problem

Summarize your problem statement in one or two sentences. Be BOLD . When creating this problem summary, make sure to touch upon what the problem is, why it is a problem, how this problem manifests, who this problem affects, and what is the fallout of this problem. Make sure your message is directed to the real pain to solve. Avoid repeating the detailed problem definition; the audience can drill down in the documentation for the facts behind your statements.

Slide 4: The Solution

As the first slide that formally introduces your projects proposal, this slide should briefly communicate what it is you are proposing to do. You can frame this slide in terms of the solution to the previously mentioned problem or you can introduce it as your plan. Either way, make sure this project introduction is no more than 1-3 sentences long. You’ll have time to specify other details in later slides. At this point of the presentation, your audience curiosity starts to peak, and you need to build your persuasive speech.

Slide 5: Goals and Benefits

For this slide, you want to briefly list the main goals for what you want to achieve with your project, as well as the top benefits your project will generate for the organization. While there may be a much larger list of these two components in your project proposal document, you’ll want to present the most important/relevant here. Try to group goals and benefits into categories. Remember that what you put on your PowerPoint slides is only the tip of the iceberg when it comes to your presentation. You can and should give more details in the spoken part of your proposal presentation.

Slide 6: Deliverables and Success Criteria

Without going into too much detail, list deliverables, due dates, and criteria for acceptance for your main deliverables.

Slide 7: Project Management Strategy

State the project management strategy you’re planning to use to manage the project. You can’t assume everyone in your audience will understand what each project management strategy entails, so you should also provide a brief description of your choice. These templates detailing the Scrum , Kanban , and Waterfall methodologies can give you ideas of how to summarize your chosen methodology.

Slide 8: Budget

The budget slide remains pretty simple. Report both the total budget you anticipate for the project as well as a general breakdown of the budget into the main categories. Providing the percentage of each category of the budget is helpful for stakeholders to conceptualize it. Other than budget, what’s needed in order to complete your project? Will you need human resources, specific software, equipment, or a special location in order to execute your project? Add a simplified list here of the main requirements.

Slide 10: Project Proposal Timeline

You will not be able to present the entire project timeline in a simple project proposal presentation. However, you should present an overview of the timeline, including major phases and deliverables. Instead of presenting a simple chart with deliverables and dates, we recommend placing your timeline of deliverables and phases in an actual calendar. This puts your timeline in a visual context of quarters, months, or weeks, allowing audience members to have a clearer concept of how long this project will take.

Close your project proposal with a very short summary of the project, similar to what you wrote previously when introducing your solution. The point of this is to remind your audience of the overarching reason for this presentation, especially after going over potentially less-than-inspiring details like budget and requirements.

Don’t forget to thank your audience for listening to your project proposal. Add your contact information in case this project proposal is sent over email and reviewed individually.
