Generative AI can be an effective tool for time-consuming tasks like writing cover letters, but only if you know how to use it effectively.
As an AI consultant , marketing and design companies come to me when they need help learning to use AI tools like ChatGPT. I also help companies review potential employees for AI-specific roles by evaluating their understanding of current tools and trends.
Here's a step-by-step guide on how to get AI to write you a great cover letter that doesn't sound AI-generated.
Learn the basics
ChatGPT works best with specific directions, so learn what makes a good cover letter before directing ChatGPT to write one.
Isimemen Aladejobi, a career strategist, outlines three components of an effective cover letter.
- A strong introduction that demonstrates company or industry knowledge. Highlight something in the news that's relevant to your prospective department. Use this topical event to segue into why you're interested in this specific position. Aladejobi recommends always referring to the job title and company by name.
- The body of the cover letter should convey why your skills and experience make you a perfect fit. Highlight what you brought to the table at your last job and connect it to the requirements of the role you're applying for. Even suggest initiatives you could start at the company.
- The sign-off should be simple. Aladejobi suggests, "I'm excited and looking forward to hearing from you," which she says demonstrates enthusiasm without being too wordy.
With this in mind, you can now start prompting ChatGPT with confidence.
Writing your cover letter in ChatGPT-4
Be aware of the token limit.
The token limit is ChatGPT's limit on recall and comprehension during a single session. ChatGPT has a token limit of 4,096, and according to OpenAI , 100 tokens are about 75 words.
If ChatGPT starts responding to prompts illogically, you've probably hit the limit. This message to help ChatGPT refocus:
" Please search this chat for the word strawberry and reread that message and provide me a summary of what you think we need to do. We're at step [#] of that message. Tell me if you want a recap of the previous steps, and I'll provide a summary. "

Step 1: Onboard ChatGPT to the task
ChatGPT needs very explicit instructions to complete tasks successfully. Below is the exact prompt to copy and paste into the chatbot.
To apply for a job within your industry use this prompt:
"Hi ChatGPT. You're now the best cover letter writer on earth. You and I will write a cover letter together for [job title] at [company]. I have [#] years of experience. Here's what we're going to do:
- You will ask me at least 15 questions about my work history and vision for the role. Make at least one of the questions "What initiatives would you implement in this role?"
- I'm going to give you sections of the job description to read and you're going to generate a strategic plan for the cover letter based on my answers from step one and the job description for me to approve.
- I'm going to give you a news item about the company. Read it and tell me how you plan to connect it to my cover letter application.
- Use this format to write the cover letter:
- Begin with the news item based on my approval of your strategy. Conclude paragraph one: "When I came across this role, I knew it was the role for me. Let me tell you why."
- The next two to three paragraphs should be my career history with clear connections to the position requirements and desired skills. Make sure to say somewhere, "As your [position title], I'll," and include some of the initiatives.
- Wrap up with the following sentence, "I'm excited and looking forward to hearing from you."
If we exceed your token limit, let's use "strawberry" as our focus word so you can get reoriented.
Please begin by summarizing what you think I want you to do."
If you're making a pivot in your career, remove this line from the prompt: " I have [#] years of experience ," and replace it with " I'm making a career transition from [industry] to [industry] so the cover letter needs to heavily showcase how my previous experience is an asset to [Company]. "
And add this to the first task: "Make another question about how I think my previous experience is an asset to this new industry."
Step 2: Check for understanding
ChatGPT should create a summary of this plan. Check that the summary is accurate. If it is, reply with " next step " or " yes ."

If ChatGPT gets confused, open a new chat and repaste the prompt.
Step 3: Answer the career questions and have ChatGPT generate a career summary
The bot should provide you with the 15 career questions. Each answer should be two or three sentences long. You can go over for one or two questions, but be wary of potentially hitting the token limit.
Once you've answered all the questions, add this sentence and press enter:
" Please create a detailed summary of my responses that I can paste into ChatGPT so I don't have to answer all these questions again if I need to generate another cover letter. "
Copy and paste the summary into another document to use for other applications.
Step 4: Input no more than 2,500 characters of the job description
Copy and paste only the pertinent details from the description into ChatGPT and delete the fluff. Keep skills and competencies, responsibilities, the role overview, and a little about the company if you think it would be helpful.
Step 5: Paste in a company press release or industry-specific news story
Once ChatGPT gives you its plan, decide whether you agree with its intent. If you do, indicate that you want to move forward and press return or make a change.
With any AI tool, you must be an editor and strategic advisor. Do not assume that what it's generated is the right path. Exercise critical judgment and get ChatGPT to refine.
For example, after I provided the article, ChatGPT presented me with a summary that didn't highlight key issues on how Canadian media companies think about content. I gave it instructions to refine it.
Step 6: Generate the cover letter and revise it with ChatGPT
Once you've approved its strategic approach, ChatGPT will generate the cover letter.
It will generate a first draft but probably won't be ready for use yet. It's your job now to go back in and revise using specific instructions.
For example, I felt that the third paragraph ChatGPT generated was weak.
Direct it with specific changes to adjust particular paragraphs and go back and forth for a few rounds until you're happy.
And it generated a much stronger attempt.
Step 7: Put it into a text editor
ChatGPT has a suboptimal understanding of grammar and syntax. Once you're happy with the content, put your text through Grammarly to help tighten up the language and avoid problems like using the passive voice.
Step 8: Rinse and repeat with modifications
You can use the same root prompt for future cover letters, but replace step one with this:
"I'm going to paste in a summary of my work experience. Please write me a three-sentence summary of what type of work I do and what you see as my top accomplishment so I can check for understanding."
Based on the previously generated summary, you'll double-check that ChatGPT has a good idea of what you do. If it's missing a few key details, fill it in on those or tell it which summary you want it to prioritize before you move through the rest of the prompt.

By discussing your decision-making process and how the internship provided real-life perspective, you can demonstrate that you are a knowledgeable decision-maker rather than someone who is simply influenced by outside perspectives.
On the other hand, if you interned in an entirely different industry and position, you can use this experience to demonstrate that you discovered what you truly want to pursue. Highlight the positive lessons learned during the internship and avoid speaking negatively about past opportunities. The crucial point is to showcase what you gained from the experience and how it has strengthened your interest in the current company and role.
Be Truthful About The Scope Of Your Experience
Internship experiences can vary widely depending on the company, from simply shadowing an employee to conducting in-depth analysis or participating in structured rotational programs. - Army Says Arlington National Cemetery Employee Being 'Unfairly Attacked' by Trump Campaign
The Army is defending an Arlington National Cemetery employee whom it says has been "unfairly attacked" in the wake of a confrontation with campaign staffers during former President Donald Trump's visit to the cemetery earlier this week.
In a relatively strong statement for a military service, the Army said Thursday that the employee "acted with professionalism" when she sought to remind the campaign about federal laws and policies banning political activities on cemetery grounds.
"An ANC employee who attempted to ensure adherence to these rules was abruptly pushed aside," the Army said in its statement, using an acronym for the military cemetery.

"This incident was unfortunate, and it is also unfortunate that the ANC employee and her professionalism has been unfairly attacked," the statement added. "ANC is a national shrine to the honored dead of the armed forces, and its dedicated staff will continue to ensure public ceremonies are conducted with the dignity and respect the nation's fallen deserve."
The statement comes after the Trump campaign baselessly accused the employee of "suffering from a mental health episode" and called her "despicable" in its own statements Wednesday.
Asked for comment on the latest Army statement, as well as any update on plans to release footage it claims to have disproving allegations of a physical fight, the Trump campaign did not directly answer. Instead, it sent Military.com a social media post from a conservative commentator about President Joe Biden's use of a cemetery photo in a 2020 campaign ad.
At issue is Trump's visit to Arlington National Cemetery on Monday to mark the third anniversary of the Abbey Gate bombing that killed 13 U.S. service members during the withdrawal from Afghanistan in 2021. Trump participated in a wreath-laying ceremony at the Tomb of the Unknown Soldier and then visited some of the victims' graves in Section 60, the area of the cemetery reserved for recent war dead.
NPR first reported Tuesday night that Trump campaign staff verbally abused and pushed a cemetery official who tried to enforce the rules against political activities when Trump was in Section 60.
The Trump campaign denied that there was a "physical altercation as described" and said it was "prepared to release footage" it suggested would contradict the allegation, but has yet to release any footage of the incident.
Family members of two of the Abbey Gate victims have said they invited Trump to accompany them to the cemetery and welcomed him to take photos and video of the visit.
But ahead of the visit, Trump campaign staff was given a document detailing laws and regulations they needed to follow while there that "prohibit political campaign or election-related activities," according to a copy of the document obtained by Military.com.
"Photographers, content creators or any other persons attending for purposes, or in direct support, of a partisan political candidate's campaign are NOT permitted on the ANC installation," the document says.
Photos and video of the visit have since been used on Trump's TikTok account, his campaign co-chair's X account, and a campaign fundraising email from Utah's governor, among other political uses. The governor has since apologized for including a photo of the visit in the email.
In its statement Thursday, the Army noted that Arlington conducts "nearly 3,000" public wreath-laying ceremonies annually "without incident."
The Arlington employee reported Monday's incident with the Trump campaign to police at Joint Base Myer-Henderson Hall , the installation that oversees the cemetery, but has decided not to press charges, according to the Army's statement.
"Therefore," the statement said, "the Army considers this matter closed."

MultiChoice is commencing production on “ My F*k , Marelize,” a feature film inspired by a viral video from Namibia . The announcement was made at this year’s Silwerskerm Film Festival in Cape Town.
The film, set in Windhoek, Namibia, is based on true events surrounding the Horn family. It follows Marelize Horn as she prepares to become an au pair in the Netherlands and her mother, Heidi Horn, as she handles a cancer diagnosis. The story unfolds against the backdrop of WIKA, the annual Windhoek Carnival.

“This film is going to surprise everyone,” Innes said. “When people think of a movie based on the phrase ‘my f*k, Marelize’, they’re probably expecting a slapstick comedy about a teenager who bumps into things all the time. The story of the Horn family has so much more depth than that.”
“This story is a celebration of life,” added Coetzer. “A showcase of how our people in Namibia and South Africa greet every challenge with a joke and face it with laughter. I was fortunate to spend time with the Horn family and witnessing their dynamic as a unit gave me such a clear vision for the film. As an Afrikaner, it is really special to be able to celebrate my language, culture and people in a story that speaks to our humor and way of doing life.”
Waldimar Pelser, M-Net channel director: premium channels, said: “kykNET is deeply rooted in Namibia, and we take great pride to be able to support not just any co-production with strong Namibian ties, but this one — a story full of pathos and humor with a unique local character.”
Haikali described the film as a “love letter to Windhoek life,” and a celebration of “quirky Namibian charm and vibrant spirit with plenty of humor.”
The Horn family has been involved since the project’s inception. Marelize Horn said: “When I got a random Facebook message from Brett last year about wanting to make a film about our family, I didn’t know quite what to expect. Now they’re about to start filming, and I can’t wait to see how our experience is brought to life.”
Filming is set to begin in September in Namibia.

In this heartwarming story, Rafael, a young Jewish boy in Istanbul, wishes his grandmother Nona, and his cousins Alegra and Leon, “anyada buena,” the Judeo-Spanish greeting for a happy new year shared by Sephardic Jews at Rosh Hashanah. Kids follow the cousins at the bustling outdoor market, where they help Nona shop for the ceremonial foods they will enjoy that evening at their traditional Sephardic meal. The cousins’ excitement is briefly dampened when an older kid bullies them while they shop. In this cartoon-style page-turner, readers meet Max, a young inventor who saves time in the morning by washing only one side of his face. But when their teacher arranges different teams, jealousy and feelings of being left out threaten their friendship. My colleague Pam has been part of my team for eight years, but she recently decided to start pursuing new career opportunities. Even though I’ll miss her, I happily agreed to help her revamp her cover letter to help her job applications stand out.
The problem? Despite her robust resume , Pam faced continuous rejections from every job she applied for! So, Pam and I embarked on a mission to uplevel her cover letter, leveraging Microsoft Copilot’s powerful AI features along the way.
The challenge: A lackluster cover letter
When I reviewed Pam’s cover letter, the root of the problem was obvious: the letter failed to showcase Pam’s unique skills and vibrant personality.
On top of that, the overall presentation of the cover letter was uninspiring. It would be easy for a letter like this to get lost in a pile of applications.
The solution: A makeover using Microsoft Create and Copilot
Eager to turn things around, we headed to Microsoft Create, an innovative platform designed to fuel creativity and efficiency. Our first step was to find a suitable Word template for cover letters that could serve as a solid foundation for Pam's letter.
With a plethora of options at our fingertips, we selected a design that aligned with Pam's professional persona, ensuring we had a head start with a visually appealing layout.
Next, we turned to Copilot for assistance with the wording. Using Microsoft Edge, we launched Copilot for Bing and wrote a prompt detailing what Pam wanted to convey in her cover letter.
The suggestions provided by Copilot were impressive, offering the blend of professionalism and personality that Pam's original draft was missing. We copied the suggested content and seamlessly integrated it into our chosen template. Pam then customized the letter a bit further to her liking.

You will be prompted to sign up with your Gmail account or create an account with your email.
Testing the tool
After you sign in, you will be taken to the prompt page where you can fill out the information needed to get your cover letter generated. All the prompts are carefully labeled, which makes the process pretty intuitive.
The only materials you will need on hand are your resume and the job listing for the new job you are interested in applying to. Then you can upload your resume and fill in the blanks to generate your resume.

For simplicity purposes, I applied to the Associate Editor position I hold now at ZDNET. The result was a thoughtful, cohesive, and thorough cover letter that I would have felt comfortable submitting if I were actually applying to be on the team.
I attached a photo of the end result but blacked out the more personal details that I only want/need an employer to see.
You can then tweak the cover letter to your liking both in terms of content and layout. For example, you can change details such as font, headings, graphics, links, and more.
When you are done, you have the option to either copy and paste the letter or download it as a PDF. If you choose to export it as a PDF, you are ready to then attach that same file to your application.
There is also an option to generate another cover letter which takes you back to the original prompts page. However, this time you don't need to refill out your personal details such as name and resume, saving you time.
