Writing a Cover Letter

What is a cover letter?

A cover letter, also commonly called as motivational letter, is a type of a formal letter that accompanies the curriculum vitae to apply for a position in an organization. It is a short document that portrays the capabilities of a person for a particular job that catches eye of the employer. It is the first communication between a potential candidate and employers. A good cover letter entices the employers to read the resume.

What are the types of cover letters?

The cover letter may be categorized into two major classes.

  • Invited cover letters that people write to apply for a particular position in a company
  • Uninvited cover letter to ask for availability of suitable jobs in an organization.

What is the purpose of cover letter?

The purpose of the cover letter is to persuade the employer to hire the person for a specific job. It must focus on the skills required for the job and the justification for being suitable for the job. Experienced employers use cover letters to screen the people who are willing to do the job. Cover letter plays a key role in convincing hiring authorities to induct their desired persons.

What is the effect of cover letter on an employer?

Your cover letter must have following effects on the hiring person:

  • It should provide the employer with the goals and objectives of your career
  • The employer should pay attention to your unique, attractive and most desired for the position under consideration

What are the parts of cover letter?

The cover letter may be divided into following parts.

  • Header of cover letter is very much similar to that of a business letter. It contains sender address, contact information, recipient’s address, recipient’s contact information, date on which letter was sent. It may also contain reference section that may refer to some other letter. Header ends with a formal salutation.
  • Introduction focuses on the position you are applying for, some information about the company and source that initiated your application.
  • The body of cover letter highlights the material in your resume. It includes the skills, past experience and educational qualifications. It may include your unique abilities that distinguish you from other applicants to persuade the employer to hire you.
  • The Closing of cover letter summarizes the cover letter. Applicant may request early reply to his application and indirectly asks, in polite words, the employer to hear positive response. The signature of the applicant may be provided at the end.

What are the tips for writing good cover letters?

Some key points must be kept in mind while writing cover letters as mentioned below:

  • Cover letter must be simple, clear and concise so that employer finds his required skills in just a glimpse. Writing flowery phrases puts a negative impact on the hiring authorities
  • Highlight the necessary skills required for the job and don’t try to impose them. Mention your abilities and experience accordingly that fits the job
  • Research about the company and show interest in the specific field you are applying for
  • The language must be polite. The words must not reflect desperate or aggressive behavior
  • Don’t copy/paste the same cover letter for every job since each job has different requirements
  • Mention briefly about how you heard for the job opening like newspaper or social media
  • Pair your qualities with the keywords given in the job advertisement and try to highlight those qualities as much as possible
  • Don’t exaggerate in explaining your abilities
  • Try to complement the skills in resume instead of duplicating them
  • Justify your suitability for the job by convincing employer with your motivation, education, experience and skills
  • The cover letter must be the trailer of the resume that would persuade the employer to read your CV in detail
  • Cover letter must be brief and to the point. Keep its length to maximum one page
  • Request an interview in cover letter
  • Make sure that cover letter is free from grammatical and typographical mistakes as they put negative impact on the employer
  • Write cover letter in font large enough to be easily read by the employer
  • Read the cover letter twice or thrice when it is complete and try to analyze it from the point of view of the employer

What are the major mistakes while writing cover letters?

There are some mistakes that are commonly made while writing cover letters. Some of the suggestions to avoid mistakes are as follows.

  • Using humorous language in cover letter which shows non professional attitude
  • Including irrelevant experiences from other jobs
  • Mistakes in format
  • Including such qualifications that are missing from your resume
  • Including stories and dialogues of others
  • Losing flow in your arguments. The sentences must be connected
  • Not skipping the details that may be obvious for the employer
  • Being over formal that may lead to boredom while reading
  • Using general salutations like “Respected sir/madam”. Be sure about the employer to whom you are addressing
  • Sending the same cover letter to all companies
  • Focusing too much on your own abilities. Try to mention how you would be beneficial for the company
  • Forgetting to include your contact information so that your employer may contact you at any time
  • Forgetting to attach a resume with cover letter is a big mistake
  • Showing desperation in cover letter
  • Including photos in cover letter

Dear Dr. Kamal,

I am interested and willing for the job of research assistant that you advertised on UET Lahore website some days ago. I have enclosed my resume for you to review. Considering my qualifications and experience, I would like to hear positive response from you in this regard. I can safely say that I am best suited to this job opportunity in the light of following reasons.

  • I have experience of working as an intern in a research institute and had a publication during that period that satisfies your requirement of working experience.
  • I had publications in IEEE related to robust passive control of time delay systems. Your criteria demands research related to optimal control techniques and this is quite similar to robust passive control.
  • I have been member of ACM society in UET Lahore and quite good in team management and organizing research-based events that would suite your demands.

I would really appreciate your going through my credentials deeply. Thank you very much for your kind consideration.

  • Be Patient: Job hunting takes time, especially when you're looking for your first job. Don't get discouraged if you don't get a response right away. Keep applying and improving your CV and interview skills. ‍

Necessary Documents for Job Application in Pakistan

When applying for a job in Pakistan, a number of documents are required to complete the application process. First and foremost, a detailed Curriculum Vitae (CV) or resume is required. This document should provide an overview of your qualifications, education, work history, skills, and achievements.

Second, you will need to provide your academic certificates. These include your matriculation (class 10), intermediate (class 12), and higher education (Bachelor's, Master's, or PhD) certificates. If you studied abroad, you may also need to provide an equivalence certificate from the Higher Education Commission of Pakistan.

Third, you will need to provide a copy of your Computerized National Identity Card (CNIC), which is a key identification document in Pakistan. If you are an international applicant, you will need to provide a copy of your passport instead.

In some cases, depending on the job you are applying for, you may also need to provide experience certificates or letters from your previous employers. These letters should detail your roles, responsibilities, and duration of employment.

It is also important to note that some employers might require additional documents like medical certificates, police clearance certificates, or references. Unlocking Success in Pakistan's Job Market: The Power of a Strong Resume Header

For the Pakistan job market, the header of a resume is paramount as it ensures easy accessibility of all necessary contact information for potential employers. To create an effective header, one must first list their last name followed by their first name. Following this, the profession and discipline should be clearly stated, indicating the field in which the individual specializes. The next essential detail is the mailing address, which will provide employers with an additional method of contact. Subsequently, the phone number should be included to facilitate direct communication. Lastly, an e-mail address should be incorporated into the header, providing a modern, efficient method of correspondence for potential employers. The header should be laid out neatly and professionally, ensuring all information is easily readable and accessible.

Understanding the Crucial Role of Experience in Resumes for the Pakistan Job Market

In the competitive job market of Pakistan, the experience section of your CV is of paramount importance. It is the cornerstone of your profile, reflecting your professional journey and showcasing your abilities to potential employers.

  • Chronological Order: Structure your work history in reverse chronological order. This allows potential employers to see your most recent and relevant experiences first. It also demonstrates your career progression effectively.
  • Contract Dates: Make sure to include the start and end dates of each position you held. Precise dates give employers a clear picture of your tenure, which is important in gauging your experience level.
  • Job Title: Providing your official job title is crucial. It helps recruiters understand your responsibilities and the level of your role, and it allows them to assess if your experience aligns with the job requirements.
  • Bulleted List: To detail your duties and achievements for each role, use a bulleted list. This enhances readability and allows recruiters to quickly scan your accomplishments.
  • Job Description: Write succinct and impactful job descriptions. Detail your responsibilities, achievements, skills used, and the value you added to the organization. Be selective and focus on what would be most relevant to the job you're applying for.
  • Use of Key Words: Incorporate key words from the job advertisement into your CV. This not only shows that your experience matches the job requirements, but it also helps your CV pass through any Applicant Tracking Systems (ATS) that the company might use. ‍

The Crucial Role of Education in Resumes for Pakistan's Job Market

The education section is a crucial part of a CV, especially in the Pakistan job market, where recruiters put a significant emphasis on the candidate's educational background. This section provides a comprehensive overview of the person's academic qualifications, including the degrees earned, the institutions attended, and the years of study. It also indicates the specialization areas, which can be a deciding factor for specific roles. For example, a candidate applying for a teaching position in a university would need to highlight their PhD or Master's degree in the field, demonstrating their expertise.

In general, in the Pakistan job market, it is recommended to place the education section towards the beginning of the CV, right after the personal details and the objective or summary. This is because many employers in Pakistan prioritize educational qualifications when screening candidates. For instance, for competitive positions in sectors such as IT or Engineering, a bachelor's or master's degree from a reputable institution can distinguish a candidate. However, in cases where the candidate has extensive relevant work experience or unique industry-specific skills, the education section can be placed after the experience section. For example, a seasoned journalist with decades of experience and a strong portfolio may choose to highlight these aspects before their academic qualifications.

Crafting Effective Cover Letters for the Pakistan Job Market

Enclosing a cover letter with your resume while applying for a job in Pakistan is crucial because it offers a personalized introduction to the employer. It allows you to explain in detail your qualifications, skills, and why you are interested in the job, going beyond the brief bullet points in your resume. A well-crafted cover letter can make a strong impression, and set you apart from other applicants who send in their resumes without one. Additionally, it demonstrates your communication skills, and shows that you have taken the time and effort to understand the job requirements and how you can fulfill them.

Preparing for Job Interviews in Pakistan: A Comprehensive Guide

The job market in Pakistan is highly competitive, with many potential candidates vying for the same job opportunities. As such, it's crucial to make a strong impression during the job interview process. This requires careful planning and preparation. The way you present yourself in an interview can make or break your chances of securing the job. Here are some dos and don’ts for preparing for a job interview in Pakistan:

  • Research: Learn about the company, its culture, and the job role you're applying for. This will enable you to tailor your responses to what the employer is looking for and show that you're genuinely interested in working there.
  • Dress Professionally: Depending on the company and job role, dress appropriately. In many cases, formal or business casual attire is recommended.
  • Practice: Do a practice run of common interview questions and rehearse your responses. This will help you feel more confident and articulate during the actual interview.
  • Bring Necessary Documents: Always carry multiple copies of your resume, portfolio, and any other relevant documents.
  • Be Punctual: Arriving late can leave a negative first impression. Aim to arrive at least 15 minutes before your scheduled interview. ‍

DON'T:

  • Neglect Body Language: Non-verbal cues like maintaining eye contact, giving a firm handshake, and sitting up straight can communicate confidence and professionalism.
  • Speak Negatively About Previous Employers: It's unprofessional and can make potential employers question your loyalty and professionalism.
  • Forget to Follow Up: Send a thank you note or email after the interview. This shows gratitude and continued interest in the position.
  • Show Desperation: While it's important to convey your interest in the job, avoid appearing desperate as this can be off-putting to potential employers. ‍

Top Job Application Practices in Pakistan: A Comprehensive Guide

Subject: Application for the position of Recruitment Assistant.

Dear Mr Ahuja,

I’m writing to convey my enthusiasm for the post of Recruitment Assistant at your prestigious organisation. I have just completed my Master’s Degree in Business Administration with a major in Human Resource Management from ZXY University and would like to contribute my knowledge, talents, and dedication to excellence to your company’s creative atmosphere.

Throughout my schooling, I’ve gained the information required for the role, such as manpower recruiting, workforce organisation, personnel training and pay, as well as legal provisions and other labour problems.

During my four-month internship, I acquired an excitement and love for human resources, and the experience convinced me that human resource management is my genuine calling.

Among my accomplishments during my internship was serving as the project lead for the company’s sports engagement programme. I also collaborated with other interns, and we successfully organised an outing for 150 employees, for which we earned a 90 per cent ‘good to outstanding’ grade from the post-event survey comments.

Please see my résumé, which is attached to this letter, for further information on my qualifications and experience. Thank you for considering this application; I look forward to hearing from you.

Writing a cover letter is not as easy as you think it to be. It takes a great deal of patience and self-introspection to formulate a cover letter which proves your worthiness and makes your job application outshine other applications. Let us have an insightful look into the different tips to keep in mind while creating a cover letter for freshers:

  • Never restate anything that you have already mentioned in your resume.
  • Since you are a fresher, all you have as an asset is your education and your skills. Highlight these two factors most gracefully and cleverly possible.
  • After you draft your cover letter , make sure there are no grammatical errors.
  • Avoid making your cover letter too long and keep it limited to one page.
  • Never be dishonest at any point or brag about your qualities.
  • Think of a good conclusion and sign off with words such as, “Thanking You,” “Best Regards,” “Sincerely,” etc.
  • When writing a cover letter for fresher, be specific about the job role and description.

The cover letter is an art in itself!

The letter is just as important when applying for a job as your CV and the application itself. It's vital to make the right impression through your cover letter as it'll be one of the first things an employer will see.

Not sure where to start? Here are five simple top tips to get you going...

1)  Your cover letter has to be related to the position you are applying for. Make sure it focuses on all your relevant skills and experience to the job. Rewrite it for every job you apply for to make you stand out from the crowd.

2)  Make sure you refer to the job advert; this will make you appear focused and directed. If you know who it is to be addressed to use their name to keep it personal, if not have a look on the company's website or give them a call.

3)  Include key words that are relevant to the position in your cover letter.

4)  Set it out right!  Make sure it's set out like a formal letter. This will ensure you appear professional and employable. Either put your contact details at the top of the page or next to your name at the end of the letter. Don't make it too long, a couple of paragraphs will do. Use an online template or check out some other online example letters to help you but be sure to make it your own.

5)  To finish it off, suggest the best way to contact you and thank the employer for their time. Being polite will make the employer's opinion of you more positive when reading your CV.

Sample cover letter for Full Time position at Acasus Pakistan

Dear Sir/Madam,

I am writing to apply for the position of Associate advertised through the LUMS Career Services Office. I am currently working at NetSol Technologies Ltd as a HR Business Partner since the beginning of this year. I graduated in 2013 with a degree in Sociology/Anthropology from Lahore University of Management Sciences. I believe the skills that I have acquired so far through my job experiences, and the sociological perspective and the technical knowledge developed through my degree makes me suitable for this position.

My major in Sociology really expanded my knowledge on important sociological themes ranging from the study of major social institutions (family religion education) to the analysis of global social processes (culture deviance social movements and inequalities). My final year projects – an independent study on Rape in War and a senior project on the Female Enrollment rates in college (urban Lahore) – required extensive on/off the ground research and writing and therefore they were really able to expand my skill set by polishing my field skills (administering surveys/interviews, compilign/analyzing information) and honing my ability to effectively communicate with diverse populations. I believe that these experiences would help me with the practical requirements of this job as well as with data analysis and writing policy recommendations.

While working for Engro Eximp (Rice division), I was part of the procurement team of 15 people. Perhaps the biggest challenge I overcame there was learning to adapt to a completely new environment of a rice plant and also, trying to understand the ins and outs of an industry which was completely alien to me. As a part of the procurement team, I developed a Specs Calculation Model which processed the data of 8 rice varieties that was shared with the management of the company. This model allowed the user to assess the current year’s procurement data and then track Eximp’s performance by comparing it with the past outlook/corporate plans of the company. Engro was quiet a learning experience as it not only taught me the art of working under pressure through the timely reports I had to churn out but also polished my interpersonal skills by allowing first hand interactions with a broad spectrum of people ranging from regional directors to plant officers and farmers.

In my current role of HR Business Partner, I manage Ascent-R3; a team of 170 computer science resources. My main job is to maximize the productivity/effectiveness of these resources by enhancing the levels of their intrinsic motivation. To achieve this goal, I have initiated a Gamification project which uses game mechanics to turn work into play. It is currently in its 4 th month where regular team-building events help to develop an environment of open communication between resources and their leads for this relatively young team. Through monetary and other team focused incentives, the team has been able to gel well over the past few months with the help of these team activities such as running an obstacle course or solving a puzzle together. The bonding time has increased a sense of loyalty in the new employees towards the team where with the help of gamification, R3 has seen a greater mapping of their work sprints compared to last year. Apart from working with this team, I also work on developing key HR policies (for e.g. medical, travel) while working to revamp existing ones under the direction of the executive officers in NetSol. NetSol has not only given me the confidence to take initiatives to help a team achieve its targets but also enhanced my problem solving capabilities by supporting the resources of the company in their day to day issues and work related matters.

Even though both my stints in the corporate sector have been very instructive, they have made me realize how passionately I feel about the development sector. Although my experiences at Engro and NetSol have really broadened my horizon and contributed in my personal growth, they have been unable to fulfill my passion of doing something meaningful and become a part of a platform like Acasus which is working towards bringing conctructive changes in the country. I strongly believe that the combination of my on field experience and the analytical techniques and communication skills I developed as a student will allow me to deliver an exceptional performance as an associate at Acasus.

Please find enclosed my resume for your review. Thank you for your consideration. I look forward to the opportunity in the recruitment procedure.

Best Structure for Employment Letter Sample in Pakistan

When it comes to drafting an employment letter in Pakistan, there are certain elements that need to be included to make it effective and legally compliant. Here, we’ll take a closer look at the best structure for an employment letter sample in Pakistan.

1. Company Information: Start with the company name, address, logo, and other details at the top of the letter. This sets the stage for the rest of the letter and helps to identify your organization.

2. Date: Mention the date when the letter is being written. This is an essential part of the letter as it establishes the timeframe for which the letter is valid.

3. Salutation: Address your employee by name, as it adds a personal touch and makes the letter more meaningful. The salutation should be followed by a formal greeting such as “Dear” or “Dear Sir/Madam.”

4. Introduction: Begin with a small introduction about the purpose of the letter. Explain that it is an employment offer letter for the respective position.

5. Employment Details: This part of the letter should clearly outline the details of the job offer, such as the job title, department, job description, job duties, and hours of work. It should also mention the salary, overtime pay, and benefits that the employee will be entitled to.

6. Starting Date: Include the starting date of employment, so the employee knows when to report to work. Mention the duration of the probationary period if there is any.

7. Termination Clause: This is an important clause that needs to be included in the letter. It specifies the reasons upon which the employment can be terminated. The notice period for termination should also be mentioned.

8. Resignation Clause: It’s important to include a clause in the letter that outlines the resignation terms to be followed by the employee.

9. Signature: End the letter with a signature and company seal, indicating that the letter is legitimate.

In conclusion, a well-structured employment letter sample in Pakistan should include the key elements mentioned above. This will ensure that both the employer and employee are clear on the terms of employment, and the letter will serve as a binding agreement between the two parties.

When writing an employment letter in Pakistan, it is important to keep in mind the cultural and legal nuances of the country. Here are some tips to help you craft an effective employment letter:

  • Begin by addressing the letter to the proper authority. If you are not sure who that is, do some research on the company’s website or ask someone in a position of authority.
  • Be clear and concise in your language. Use simple sentences and avoid technical terms or industry jargon that the reader may not understand.
  • Make sure to include all necessary details, such as job title, salary, and start date. This will help avoid any confusion or misunderstandings down the line.
  • Highlight the candidate’s qualifications and experience in a positive light. Be sure to explain how their skills and knowledge will benefit the organization.
  • Be truthful in your statements. Avoid exaggerating or misrepresenting the candidate’s abilities or experience, as this can damage the company’s reputation if found out.
  • Include any relevant contact information, such as phone numbers or email addresses, so that the employer can easily reach out if they have any questions or need more information.
  • Close the letter with a polite and professional tone, thanking the reader for their time and consideration.

Remember that employment letters are an important part of the hiring process in Pakistan. By following these tips, you can help ensure that your employment letter is clear, concise, and effective in communicating the candidate’s qualifications and suitability for the position.
